Administrative Assistant- Clinical Team
Position Summary
The Administrative Assistant plays a key role in supporting the daily operations of clinical programming. This position coordinates client and staff schedules, manages clinical group referrals and census, supports auditing and quality assurance processes, and provides direct clinical and operational coverage as needed. The Administrative Assistant works closely with clinical leadership and cross-functional departments to ensure continuity of care, efficient service delivery, and high-quality client experiences.
Key Responsibilities
Clinical Operations & Scheduling
  • Coordinate and maintain client and clinical staff schedules across treatment services.
  • Manage clinical group schedules, referrals, and group census to ensure appropriate client placement and optimal utilization.
  • Communicate schedule changes and updates to clinical staff and relevant departments.

Auditing & Quality Assurance
  • Conduct routine audits of clinical documentation, schedules, and program data to ensure accuracy and compliance.
  • Track and report group attendance, census, and utilization metrics.
  • Support accreditation, compliance, and internal quality improvement initiatives.

Cross-Department Collaboration
  • Provide cross-coverage and operational support to other departments as needed.
  • Collaborate with clinical leadership, residential, admissions, and administrative teams to support seamless client care.

Administrative & Special Projects
  • Complete special projects assigned by leadership, which may include process improvement, data tracking, or program development initiatives.
  • Assist with implementation of new workflows, systems, or clinical programming as needed.

Coverage & On-Call Support
  • Provide PRN coverage for the residential front desk, including client-facing support and administrative tasks.
  • Respond to emergent operational or clinical needs, including after-hours or urgent support when required.

Group & Clinical Support
  • May be required to lead assigned clinical groups in accordance with licensure, training, and program needs.
  • May be required to provide emergency coaching and clinical support as needed.
  • Assist with intake-related group referrals and transitions within the continuum of care.

Qualifications
Required
  • Bachelor's degree in behavioral health, psychology, social work, or related field (Master's degree preferred).
  • Relevant experience in clinical coordination, healthcare operations, or behavioral health services.
  • Strong organizational and time-management skills with the ability to manage competing priorities.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and work within HIPAA and ethical guidelines.

Preferred
  • Experience facilitating clinical groups.
  • Familiarity with EHR systems, scheduling platforms, and data tracking.
  • Experience working in residential or higher levels of care.
