Job description

Job Summary
We are seeking a reliable and detail-oriented individual to join our estimating team as a Subcontractor Outreach Caller. This role is focused on making outbound calls to subcontractors throughout the day to gather interest, availability, and project-specific information, followed by accurate data entry into our internal spreadsheets and systems, as well as entering Purchase Orders, Change Orders, and various other admin duties. This is NOT a sales call position.
Key Responsibilities
  • Make high-volume outbound calls to subcontractors and suppliers to request bids, confirm scope, check availability, and follow up on outstanding quotes
  • Clearly communicate project details and bid requirements over the phone
  • Accurately document all call outcomes, pricing information, subcontractor responses, and notes in Google spreadsheets and company databases
  • Maintain organized records of subcontractor contacts, bid statuses, and communication history
  • Assist with basic follow-up emails when needed
  • Enter Purchase Orders, Change Orders and any other duties the Project Manager and Estimators may need
Qualifications
  • Strong verbal communication skills and clear, professional phone presence
  • Comfortable making repetitive outbound calls throughout the workday
  • Excellent attention to detail and data entry accuracy
  • Proficient in Google Sheet (sorting, filtering, basic formulas)
  • Ability to work independently and stay focused in a structured, task-oriented environment
  • Previous experience in cold calling, telemarketing, inside sales, or construction-related administrative roles is a plus (but not required)
