Job description

Headquartered in Portland, Oregon, TEC has 30+ locations from Seattle to San Diego to the Midwest, serving thousands of customers across Washington, Oregon, California, Nevada, Arizona, Nebraska, Iowa and South Dakota.

TEC Equipment features Mack and Volvo heavy-duty trucks, Hino and Isuzu medium duty trucks, Stoughton trailers and Cottrell auto transport trailers. We offer a large and desirable inventory of new Mack and Volvo heavy-duty trucks and all makes of used trucks. Our full-service line-up also features quality parts, state-of-the-art service, collision centers and fuel, leasing/rental, financing, and insurance. Our locations are authorized service centers for Mack, Volvo, Cummins, Meritor, Eaton and Fuller warranties. TEC truly offers the convenience of one-stop shopping for all trucking-related needs.


The Auto Transport Sales Coordinator supports the Auto Transport (AT) sales team and departmental business efforts by managing both stock and customer ordered equipment from manufacturer to the customer final delivery; documenting and processing sales transactions; managing outstanding receivables/payables; and performing a variety of administrative support duties.  The person in this position is able to function efficiently and independently to provide optimal support.  


  • Maintain scheduling spreadsheets and coordinate information regarding chassis and equipment build status, delays, and vendor needs. Ensure production schedules and order statuses are accurate and updated with source data from various inputs. Adjust orders and schedules based on production flow and operational roadblocks. Ensure seamless collaboration between departments.
  • Track and record all inbound equipment inventory. Review and code invoicing from the original equipment manufacturer and ensure timely processing through central accounting. 
  • Review and follow-up all OEM related receivables to ensure timely receipt of payment for all secondary requests for sales allowance and other related receivables.
  • Manage weekly TEAMs conference calls with various vendors, OEM's, and Fontaine Modification.
  • Create and track miscellaneous invoices to customers for transportation, warranty, etc. Issue all department purchase orders. Code department vendor invoices in CDK. At times, may drive company car to deliver paperwork to other sites.
  • Complete post-delivery warranty registrations, purchase and apply for extended warranties, and follow up to ensure completion.
  • Coordinate booking of all monthly equipment transactions ensure transactions record smoothly through accounting.
  • Offer superior level of service to customers and maintain all standards according to company policy to ensure TEC is recognized for A+ customer satisfaction. 
  • Attend training, departmental meetings, and be willing to attend Conferences if requested by management. Perform any additional duties as needed or assigned by the Sales Manager to support the department’s operations and objectives. Maintain a level of professional business appearance and attire. 

  • High School diploma or GED equivalent required.
  • Associates degree in accounting, business, or related field preferred; equivalent combination of work experience and education is suitable.
  • Minimum 2 years of experience in fast-paced role with administrative and customer support responsibilities.
  • Proficient with Microsoft Office Suite (Excel, Word, etc.) and all other required systems and software.
  • Highly detail oriented and accurate.
  • Excellent oral and written communication skills through a variety of communication channels (email, in person, phone, etc.); ability to communicate effectively with internal and external partners.
  • Proactive and able to apply logic and sound judgment to solve problems within scope of role.
  • Ability to maintain organized files and records.
  • Ability to appropriately maintain sensitive/confidential information.
  • Ability to multi-task in a fast-paced environment while maintaining professionalism and composure.
  • Ability to prioritize tasks and appropriately handle disruptions.
