Executive Coordinator

The Executive Coordinator is a trusted administrative partner responsible for providing proactive, high-level support to one or more executive leaders within the organization. This role ensures daily operations run smoothly by managing schedules, meetings, travel, communications, and cross-functional coordination with professionalism, confidentiality, and attention to detail. The ideal candidate is organized, resourceful, and skilled at juggling multiple priorities in a fast-paced, evolving environment. You’ll play a key role in enabling executive effectiveness, acting as a connector between departments and a driver of team organization and communication. This is a highly visible role that requires exceptional communication skills, discretion, and a strong sense of ownership.

What You’ll Do:

  • Manage complex executive calendars, including scheduling meetings, prioritizing appointments, and resolving conflicts
  • Coordinate logistics for internal and external meetings, including agendas, prep materials, location setup, and technology support
  • Arrange domestic and occasional international travel, accommodations, and itineraries
  • Track deadlines, follow-ups, and deliverables across multiple projects and workstreams
  • Prepare and edit emails, memos, presentations, and reports with a high level of accuracy and professionalism
  • Serve as a liaison between the executive and internal/external stakeholders
  • Assist with expense tracking, invoice processing, and departmental budget coordination
  • Organize recurring team events, offsites, business reviews, and other cross-functional sessions
  • Support onboarding and coordination for new hires within the executive's team
  • Handle confidential information with the utmost integrity and discretion
  • Anticipate needs and proactively take action to keep the executive focused and efficient

The Qualifications:

·       3+ years of experience in an administrative, executive assistant, or coordinator role, preferably in a fast-paced, high-growth environment

·       Exceptional organizational, multitasking, and prioritization skills

·       Strong written and verbal communication skills

·       High proficiency with Microsoft Office Suite, Google Workspace, Zoom, and calendar management systems

·       Ability to remain calm, resourceful, and flexible under pressure

·       Strong judgment and professionalism in handling sensitive and confidential matters

·       Detail-oriented with a commitment to delivering high-quality work

·       Positive, team-oriented mindset with a service-first attitude

·       Bachelor’s degree preferred but not required

Physical Requirements:  

·       Ability to maintain stationary position to be able to operate a computer and other office equipment

·       Must be able to identify, analyze and assess details

·       For certain positions, must be able to occasionally move or transport items up to 50 pounds

·       Ability to communicate with others and exchange information accurately and effectively

·       Constantly positions self and move about to support ordinary restaurant or food production support or office operations, as applicable

·       Ability to work in a constant state of alertness and in a safe manner
