Position Overview

We are seeking a highly organized, dependable, and detail-oriented Production Assistant to support our day-to-day production operations. This role is an important link between our production team, technicians, subcontractors, warehouse, and office staff.


The Production Assistant will be responsible for subcontractor payroll, warehouse inventory management, and production administration. The ideal candidate is comfortable managing multiple priorities, communicating with subcontractors and crews when needed, and making sure the people, materials, and equipment needed for each job are organized and ready.

This is a great position for someone who enjoys a fast-paced environment, takes ownership of their responsibilities, and is good at keeping many moving pieces organized.


Key Responsibilities


Subcontractor Payroll & Administration

  • Prepare subcontractor payroll accurately and on schedule.
  • Review subcontractor work orders, completed jobs, rates, quantities, and other supporting documentation
  • Verify that approved work and any additional charges are properly documented.
  • Maintain organized subcontractor payment and job records.
  • Coordinate with accounting and management to resolve payment issues.
  • Assist with maintaining current subcontractor documentation, including W-9s, insurance certificates, agreements, and other required paperwork.


Warehouse & Inventory Management

  • Manage and maintain accurate warehouse inventory.
  • Track incoming and outgoing materials, supplies, tools, and equipment.
  • Receive deliveries and verify quantities against purchase orders or packing slips.
  • Maintain organized inventory records and perform routine inventory counts.
  • Identify low-stock items and communicate purchasing needs before shortages occur.
  • Keep the warehouse organized, clean, labeled, and easy for production teams to utilize.
  • Track company tools and equipment assigned to crews or jobs.
  • Assist with coordinating returns, damaged materials, excess materials, and warranty items.
  • Help minimize material loss and unnecessary purchasing through accurate inventory management.


Production & Job Support

  • Assist Production Managers with preparing for upcoming jobs.
  • Track jobs through various stages of production and help ensure required tasks are completed.
  • Communicate with field personnel regarding job status, material needs, and scheduling.
  • Collect and organize completion paperwork, photos, receipts, invoices, and other job documentation.
  • Provide administrative support to the Production and Operations teams as needed.

The Production Assistant should be willing to step in wherever needed to help keep production running efficiently.


Qualifications

  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple jobs, deadlines, and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable communicating with subcontractors, vendors, suppliers, and field personnel.
  • Ability to identify problems and proactively work toward solutions.
  • Comfortable working with spreadsheets, email, scheduling software, and project-management systems.
  • Basic understanding of payroll, purchasing, inventory, or job costing is preferred.
  • Construction, roofing, trades, warehouse, or production experience is preferred but not required.
  • Ability to work independently while also functioning as part of a team.
  • Dependable, punctual, and accountable.
  • Comfortable working in both an office and warehouse environment.
