Summary of Job Duties:
The Senior Legal Administrative Specialist provides operational and administrative support to the UAMS Office of General Counsel and serves as the office's administrator for legal operations. This position supports the Managing Associate General Counsel, who leads the UAMS Office of General Counsel. This position also provides administrative support to the UAMS AI Governance Committee, on which the Managing Associate General Counsel serves as Chair. The successful candidate will be highly organized, discreet, and comfortable working in a fast-paced 10-attorney legal environment that is actively integrating new technology into its operations.
Examples of tasks expected to be performed include:
Legal Operations & Office Administration
• Managing the Managing Associate General Counsel's calendar, correspondence, scheduling, and travel arrangements.
• Serving as the professional first point of contact for the UAMS Office of General Counsel, managing incoming calls, emails, and visitors with discretion and sound judgment, and serving as the office's liaison across the UAMS enterprise.
• Drafting, proofreading, and formatting correspondence, memoranda, presentations, and other documents on behalf of the Office.
• Preparing and processing expense reports, reimbursements, and procurement requests in accordance with UAMS policies.
• Coordinating meeting logistics, agendas, and supporting materials for internal and external engagements.
• Maintaining organized physical and electronic filing systems and supporting records management in compliance with institutional retention policies.
• Assisting in tracking outside counsel matters, invoices, and billing guideline compliance.
• Supporting legal holds, matter intake, and other workflow processes across the office.
• Assisting with onboarding of new staff and supporting general office operations and special projects as needed.
Legal Technology & AI Tools Administration / AI Governance Support
• Supporting the office's adoption of AI platforms and legal technology tools, including assisting with subscriptions, user access, and vendor coordination.
• Provide administrative support to the UAMS AI Governance Committee Chair and Program Director for legal and regulatory matters of UAMS AI use.
• Supporting research and preparation of briefing materials on AI-related regulatory developments and peer institution practices as directed by the Committee Chair.
The successful candidate will possess strong organizational and communication skills. This includes the ability to manage multiple priorities in a high-volume environment. A genuine interest in how artificial intelligence is reshaping legal and administrative operations is a preference. No prior AI experience is required. Training will be provided. This position requires demonstrated discretion in handling confidential and sensitive information. The Office values intellectual curiosity and a bias toward learning. Candidates who are self-directed, ask good questions, and actively seek to expand their skills will thrive in this environment. This is a full-time, on-site position located in Little Rock, Arkansas.
Qualifications:
Minimum Qualifications
The formal education of an associate degree in business administration, public administration, legal studies, or a related field, or equivalent professional experience; plus three years of experience in executive support, office operations, legal office administration, or a related administrative role.
Preferred Qualifications
  • Prior experience in a legal office, law firm, healthcare institution, higher education, or government setting.
  • Experience supporting a General Counsel, senior attorney, or executive-level leader.
  • Familiarity with legal technology platforms, including document management systems, e-signature tools, or matter management software.
  • Hands-on experience with AI tools such as Claude, ChatGPT, Microsoft Copilot, or similar platforms.
  • Experience with operations within a large corporation or governmental organization.
