Procurement Assistant 

Location: Carlsbad, New Mexico

Industry: Mining / Industrial Operations

Salary Range: $55,000–$65,000 annually

Position Overview

We are seeking a highly organized and detail-oriented Procurement Assistant to support purchasing and supply activities for a mining operation in Carlsbad, NM.

This role will have a strong focus on MRO (Maintenance, Repair & Operations) purchasing, helping ensure maintenance and operational teams have the parts, materials, supplies, and services needed to keep the operation running efficiently.

The ideal candidate has experience supporting purchasing or procurement activities in a mining, manufacturing, industrial, maintenance, construction, oil & gas, or similar operational environment and is comfortable working with purchase orders, vendors, spreadsheets, and multiple competing priorities.

Key Responsibilities

  • Support the procurement and purchasing of MRO parts, materials, equipment, supplies, and services required by maintenance and operations.
  • Create, process, track, and maintain purchase orders (POs) from request through delivery.
  • Assist with obtaining vendor quotes, comparing pricing, and coordinating purchasing requirements.
  • Communicate with suppliers regarding pricing, availability, order status, lead times, backorders, and delivery schedules.
  • Track open purchase orders and proactively follow up on outstanding or delayed orders.
  • Work closely with Maintenance, Operations, Warehouse, Accounting, and Procurement personnel to address purchasing needs.
  • Assist with researching and resolving invoice, PO, receiving, quantity, and pricing discrepancies.
  • Maintain accurate purchasing records, vendor information, order documentation, and supporting files.
  • Use Microsoft Excel to maintain purchasing trackers, analyze data, organize order information, and prepare reports.
  • Assist with inventory-related purchasing activities and identification of critical MRO requirements.
  • Support vendor setup, documentation, and procurement administrative processes.
  • Maintain accurate records in applicable purchasing, ERP, or inventory management systems.
  • Assist the Procurement team with reporting, data entry, filing, research, and other administrative responsibilities as needed.

Qualifications

  • 2+ years of experience in procurement, purchasing, supply chain, materials management, inventory, MRO purchasing, or a related administrative function preferred.
  • Previous experience supporting MRO purchasing is highly desirable.
  • Experience within mining, manufacturing, industrial maintenance, construction, energy, oil & gas, or another asset-intensive environment is preferred.
  • Strong Microsoft Excel skills required, including the ability to organize, sort, filter, and analyze purchasing data.
  • Experience creating and tracking purchase orders preferred.
  • Familiarity with ERP, procurement, inventory, or purchasing systems is a plus.
  • Strong attention to detail and data accuracy.
  • Excellent organizational and follow-up skills.
  • Strong written and verbal communication skills.
  • Ability to communicate professionally with vendors and internal stakeholders.
  • Ability to prioritize multiple purchasing requests in a fast-paced operational environment.
