Job Summary

The Administrative Analyst provides critical administrative and analytical support to large-scale utility and construction projects. This role is responsible for maintaining accurate project records, coordinating reporting processes, and ensuring compliance with Southern Company’s administrative and accounting procedures. The Analyst will assist project teams by preparing detailed reports, managing records retention, and supporting project communications, while maintaining a high standard of professionalism and flexibility in a dynamic work environment.


Key ResponsibilitiesAdministrative & Compliance Support
  • Promote and maintain a safe work environment in all activities.

  • Process, track, and coordinate staff timesheets and procurement card (P-Card) reports.

  • Ensure adherence to Southern Company’s administrative, accounting, and compliance procedures.

  • Communicate with Compliance and HR organizations in support of project team needs.

  • Perform general office duties, including maintaining supplies, coordinating travel, and supporting office relocations.

Project Reporting & Data Analysis
  • Assist in tabulation, tracking, and development of critical project statistical data.

  • Contribute to the creation and publication of weekly and monthly project reports.

  • Gather, analyze, and finalize data for monthly project status presentations (PowerPoint).

  • Support the development of correspondence, presentations, and communications for project stakeholders.

Records & Document Management
  • Organize, catalog, and maintain project files, including change notice requests, award forms, sole source justifications, and records of decision.

  • Serve as administrative owner for S:Drive and SharePoint sites.

  • Participate in records retention initiatives related to large construction projects.

Team & Executive Support
  • Provide backup coverage for executive administrators as needed.

  • Collaborate with managers and project staff to ensure timely completion of assignments.

  • Remain flexible and responsive to emergent project requirements and deadlines.

  • Coordinate and manage project-related meetings, events, and team communications.


QualificationsEducation
  • Associate’s degree in Business Administration or related field required.

  • Bachelor’s degree preferred.

Experience
  • 3–5 years of administrative or analyst experience, preferably in a utilities, construction, or engineering project environment.

  • Strong background in records management, reporting, and compliance tracking.

Skills & Abilities
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

  • Experience with SharePoint or similar document management platforms.

  • Strong organizational skills, with attention to accuracy and detail.

  • Excellent communication skills, both written and verbal.

  • Ability to manage multiple tasks under strict timelines.
