Position Overview

The Accounting Assistant supports the day-to-day financial operations of the Greater Vancouver Food Bank (GVFB) under the direction of the Accounting Manager. This role is ideally suited to a motivated, detail-oriented individual with a strong foundation in accounts payable, data entry, and transactional accounting.

The Accounting Assistant is a critical member of the Finance team, responsible for ensuring that all transactional activity is accurately recorded and processed on time. This is a hands-on role that requires precision, accountability, and a collaborative approach to supporting the Finance Department's operational and compliance objectives.


Key Responsibilities

  • Accurately process invoices, expense reports, and other accounts payable related transactions in Financial Edge NXT.
  • Match invoices to purchase orders and ensure proper GL coding for all expenses.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Prepare EFT, cheque, and bill payment batches for the Accounting Manager review; maintain the accounts payable aging and follow up on outstanding payments.
  • Verify new vendor and banking details are received on a completed Direct Deposit Application Form with a void cheque for accounting manager review prior to processing first payment.
  • Prepare deposit slips for all cash and cheques received.
  • Maintain the cash vault in accordance with policy - undeposited cash must not exceed $10,000.
  • Prepare petty cash reconciliation and gift card inventory reconciliation monthly for accounting manager review.
  • Count and verify monetary contributions alongside a second staff member or designated volunteer in accordance with policy.
  • Prepare monthly AR invoices for food preservation sales and report monthly sales.
  • Process and reconcile receipts of accounts receivable cheques, EFTs, and other deposits.
  • Enter daily bank transaction data accurately into Financial Edge NXT.
  • Prepare daily bank balances.
  • Support with AR data entry and reconciliation tasks as directed by the Accounting Manager.
  • Process recurring journal entries for month-end close under the direction of the Accounting Manager.
  • Assist with month-end and year-end closing activities and provide documentation support for annual audit files.
  • Identify and flag data discrepancies to the Accounting Manager promptly.
  • Ensure all transactions are processed in compliance with GVFB's Financial Controls Policy and internal procedures.
  • Maintain complete and organized records for all transactions - both hard copy and electronic - in accordance with CRA record retention requirements.
  • Adhere to GVFB's AI tool governance policy - no confidential, donor, or financial data to be entered into non-approved AI platforms.
  • Complete other duties as assigned by the Accounting Manager.

Qualifications and Experience

  • Completion of an accounting diploma or degree, or a relevant combination of education and experience.
  • 1-2 years of experience in accounts payable, data entry, or full-cycle accounting.
  • Knowledge of Canadian accounting principles and practices. Experience in non-profit accounting is considered an asset, but not requirement.
  • Experience with Blackbaud Financial Edge NXT and Raiser's Edge software is preferred but not required.
  • Proficient in Microsoft Office Suite, particularly Word and Excel.
  • Experience in a nonprofit or charitable organization is an asset.
