Position Summary

Our growing organization is seeking a responsible and reliable Gift Processing Team Lead to provide in-person leadership and oversight over the gift processing team, while also contributing directly to gift processing, data entry, documentation, and process improvement in support of the mission of the Come and See to invite everyone to encounter Jesus through exceptional storytelling that brings the Bible to life.

This role is based in our Colorado Springs office and reports to the Development Operations Manager, working closely with our Finance and Development Teams. The Gift Processing Team Lead will oversee and collaborate closely with the Gift Processing Specialists to ensure proper controls over all donor gifts received. Successful candidates will have demonstrated experience in gift processing, CRM systems, and team leadership.

Key Responsibilities

Gift Processing Team Leadership

  • Supervise the Gift Processing team, including training, workflow management, performance coaching, and process improvement initiatives.
  • Serve as a resourceful problem solver in addressing gift processing, donor records, and reconciliation issues.
  • Monitor team productivity and service levels while fostering a collaborative, mission-focused team dynamic.
  • Coordinate with Finance and Development teams to support reconciliation, reporting, compliance, and organizational policies and accounting standards.
  • Develop and document operational procedures to improve efficiency, accuracy, and scalability.


Gift Processing / Data Entry

  • Work closely with the Gift Processing Specialists to handle all donation processing from all incoming gifts, including checks, wire transfers, ACH transfers, stocks, donor-advised funds, IRAs, cryptocurrency, etc.
  • Assist in sorting, stamping, scanning, filing, and logging received mail while ensuring bank deposit totals are accurate.
  • Process donor gifts efficiently to meet the 48-hour turnaround policy for receipt issuance and execute end-of-year giving statements.
  • Analyze donations to assign the correct campaign, fund, appeal, and gift type.
  • Oversee gift processing for donor events and maintain accurate records in the CRM system.
  • Maintain accuracy in the Customer Relationship Management (CRM) system, updating donor information and mailing lists.
  • Create and update constituent records, ensuring all relevant fields are complete and accurate.
  • Maintain donor confidentiality and adhere to data privacy policies.
  • Cross-train in all aspects of gift processing to provide support during peak times.

General Responsibilities

  • Work collaboratively with the Finance and Development teams.
  • Assist the Development Team in documenting policies and procedures to ensure gift processing procedures and policy manuals are up to date.
  • Continuously evaluate workflows to improve efficiency and data accuracy.
  • Perform additional tasks to support team and organizational goals.

Knowledge, Skills, and Abilities

  • Demonstrated ability to assess complex situations, think critically, resolve operational challenges, and improve processes proactively.
  • Self-motivated individual with strong organizational skills and the ability to work independently with minimal supervision.
  • Experience leading administrative, donor services, gift processing, or data operations teams.
  • Knowledge and experience with relational databases (Virtuous) are strongly preferred.
  • Extensive knowledge and experience with Microsoft 365.
  • High attention to detail and commitment to accuracy and confidentiality.
  • Ability to manage multiple priorities and deadlines at once.
  • Strong verbal and writing skills.
  • Demonstrated excellent skills in establishing priorities, organizing tasks, and effectively implementing tasks.

Education and Experience

  • Bachelor's degree or related experience.
  • Prior experience with gift processing is required; experience with nonprofit fundraising operations and complex giving vehicles is strongly preferred.
  • Intermediate experience in Excel is required.
