About the Role

The Executive Assistant to the CEO & Chairman serves as a trusted strategic partner, providing seamless administrative and operational support to Orveon's Chief Executive Officer and Chairman of the Board. This role is responsible for managing complex global calendars, travel logistics, board-related activities, communications, and executive priorities while representing the CEO and Chairman with the highest level of professionalism, discretion, and confidentiality.

The Executive Assistant acts as a key liaison across the Executive Committee, Board of Directors, investors, external stakeholders, and the broader organization, ensuring effective coordination and execution of business priorities. This individual works closely with the Executive Assistant team to provide exceptional support and a consistent executive experience across the organization.

Primary Responsibilities Executive Support
  • Manage and optimize highly complex global calendars for the CEO and Chairman, balancing internal priorities, Board commitments, investor engagements, customer meetings, and external obligations.
  • Proactively identify scheduling conflicts, anticipate business needs, and recommend solutions to maximize executive effectiveness and time management.
  • Coordinate and manage all domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, visas, and meeting logistics.
  • Prepare detailed travel itineraries and briefing materials to ensure executives are fully prepared for meetings and events.
  • Organize and submit executive expense reports accurately and in a timely manner.
Board & Stakeholder Management
  • Serve as a primary liaison between management, the Board of Directors, and external stakeholders on behalf of the CEO and Chairman.
  • Coordinate Board meetings, committee meetings, leadership reviews, and related logistics, including agendas, materials, presentations, and follow‑up actions.
  • Support governance‑related activities and maintain confidentiality of highly sensitive Board and company information.
  • Coordinate with external organizations, investors, advisors, and Board affiliations to ensure alignment with business priorities and avoid scheduling conflicts.
Executive Operations & Communication
  • Partner closely with the Executive Committee and senior leaders to coordinate meetings, strategic initiatives, and key business deliverables.
  • Exercise sound judgment in prioritizing requests, managing competing demands, and escalating issues when appropriate.
  • Draft, edit, and prepare correspondence, presentations, reports, and meeting materials on behalf of the CEO and Chairman.
  • Maintain professional communication and strong working relationships across all levels of the organization.
  • Collaborate closely with the Executive Assistant team to ensure seamless executive coverage, information sharing, and support across leadership.
  • Provide backup support for executive scheduling and administrative needs as required.
  • Assist in planning and coordinating leadership meetings, Board meetings, off‑sites, town halls, and company events.
  • Support office operations as needed in partnership with the broader EA team.

Qualifications & Competencies
  • 8+ years of experience supporting C‑suite executives, CEOs, Board Chairs, or senior leadership teams in a fast‑paced corporate environment.
  • Demonstrated experience supporting Board‑related activities and executive governance processes.
  • Exceptional calendar management and executive prioritization skills.
  • Strong understanding of executive presence and ability to professionally represent the CEO and Chairman internally and externally.
  • Proven ability to handle highly confidential and sensitive information with discretion and sound judgment.
  • Expert proficiency in Outlook, Microsoft Teams, Zoom, PowerPoint, Excel, and related productivity tools.
  • Outstanding verbal and written communication skills.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to anticipate needs, solve problems proactively, and operate independently.
  • Strong relationship‑building skills with the ability to collaborate effectively across functions and levels.
