Position Overview
Position Summary
Under the direction of the Associate Vice President for Advancement and the supervision of the Advancement Services Assistant Director, the Gift Processor is responsible for receiving, recording, and legally acknowledging all charitable contributions to the ENMU Foundation in a timely and accurate manner. The Gift Processor ensures that gifts are processed in accordance with donor intent, Foundation policies, and applicable IRS rules and regulations governing charitable contributions. This position also processes all gift transactions and related accounting entries for the Eastern New Mexico University Business Office and the ENMU Foundation.
Requirements
Duties and Responsibilities:
  • Process and record gifts daily, including online gifts, electronic funds transfers, third-party platform payments, and Gifts-In-Kind, while meeting established department deadlines
  • Upload and/or scan supporting documentation regarding the donor, gift, and signed pledge commitments into Web Extender and constituent relationship management (CRM) databases
  • Balance donated checks, cash, bank drafts, and online charges and run transmittal reports
  • Track major gifts and outstanding pledges, update records, and produce pledge reminders
  • Maintain a current gift and pledge processing procedures manual under the supervision of the Assistant Director
  • Update constituent records, including name and address changes, salutations, deceased status, and other biographical information
  • Provide accurate, timely, and professional responses to inquiries from internal and external constituencies
  • Research and verify data to ensure accuracy and compliance with departmental policies and procedures
  • Protect confidential donor, constituent, and organizational information in electronic and physical formats
  • Cross-train and maintain documentation to support continuity of operations during absences and peak processing periods
  • Regular and predictable attendance required
  • Perform related duties as assigned

Minimum Job Requirements:
High school diploma or equivalent certificate and three (3) years of progressively responsible experience in accounting, bookkeeping, finance, gift processing, or a related field. An associate's degree in accounting, finance, business administration, bookkeeping, or a related field is preferred.
Knowledge, Skills, and Abilities:
  • Highly organized with the ability to prioritize multiple processing tasks and meet established deadlines
  • Ability to work collaboratively and effectively in a team environment
  • Strong attention to detail, accuracy, and thoroughness in completing assigned duties
  • Ability to maintain a high degree of confidentiality and responsibility regarding ENMU Foundation donor, prospect, and institutional information. Strong interpersonal, verbal, and written communication skills, with the ability to communicate effectively in person, by telephone, in writing, and through virtual platforms
  • Proficient mathematical l skills and the ability to reconcile, audit, and proof financial data for accuracy
  • Demonstrated ability to learn, apply, and consistently follow detailed policies, procedures, and business processes. Proficient with database management platforms and the latest office technologies, including, but not limited to, Banner, CRM Advance, as well as the MS Office Suite, which includes Word, Excel, and Outlook
  • Knowledge of, or the ability to learn, the mission of the ENMU Foundation and the role of philanthropy in supporting the University's educational mission
  • Demonstrated initiative and willingness to learn new technologies, systems, and processes

Working Conditions
Physical Demand and Working Conditions:
  • Work is performed in an office setting, and is sedentary in nature that at times requires exerting up to 10 pounds of force occasionally and/or a consistent amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects
  • Work is generally performed during normal business hours. Occasional work outside of regular business hours may be required during peak gift processing periods, including fiscal year-end (late June) and calendar year-end (late December).

Paid Time OffDuring the first year of service, full time non-exempt (hourly) employees accrue 7 hours of annual leave and 7 hours of medical leave per month. During the second year of service, full time non-exempt employees accrue 10 hours of annual leave and 10 hours of medical leave per month. During the third and subsequent years of service, full time non-exempt employees accrue 14.66 hours of annual leave and 14 hours of medical leave per month.
