Job description

THE OPPORTUNITY

Southeast Steel Systems is hiring a highly organized, tech-confident Sales Administrator with a career path to Sales Representative Trainee to support our Adel sales team. This is a great fit for a strong administrative professional who enjoys systems, customer contact, problem-solving, and learning how a technical sales organization works.

The role is highly administrative at the start. You will support the Sales Department, Sales Manager, Sales Representatives, and Estimators with customer communication, quote activity, data accuracy, scheduling, follow-up, and sales systems. As you build product knowledge and sales skills, you may grow into an Inside or Outside Sales Representative role based on performance and business needs.

We will train the right person on NetSuite, MBS, our products, and our sales process. Strong computer skills, professional communication, accuracy, and the ability to learn new systems quickly are required from day one.

WHAT YOU WILL DO

  • Provide daily administrative support to the Sales Manager, Sales Representatives, and Estimators.
  • Answer customer calls and emails, gather project information, route requests, and provide professional follow-up.
  • Create, update, organize, and track customer records, opportunities, quotes, sales documents, and open action items.
  • Support quote preparation by gathering customer requirements, drawings, specifications, and other information needed by Sales and Estimating.
  • Enter and maintain accurate sales information in NetSuite and other company systems.
  • Use Microsoft 365, Teams, Outlook, Excel, Word, and Microsoft Project to manage communication, files, schedules, reports, and team activity.
  • Become a key Sales Department user for NetSuite and MBS by learning workflows, helping maintain data accuracy, and supporting consistent system use.
  • Coordinate information between Sales, Estimating, Engineering, Drafting, Project Management, Operations, and Finance.
  • Track open quotes, customer follow-ups, requested revisions, deadlines, and department priorities to help keep work moving.
  • Learn our steel building products, customer types, quoting process, and sales cycle while supporting experienced team members.

TECHNOLOGY EXPECTATIONS

Computer literacy is a core requirement for this position. We can train our systems, but the successful candidate must already be comfortable working in a modern digital office environment.

  • Strong working knowledge of Microsoft 365, especially Outlook, Excel, Word, Teams, and file collaboration.
  • Working knowledge of Microsoft Project or the ability to become productive in it quickly.
  • Ability to work across multiple systems, browser tabs, shared files, dashboards, and customer records without losing accuracy.
  • Ability to learn NetSuite quickly. Prior NetSuite experience is a plus, not a requirement. Training will be provided.
  • Experience with MBS or another quoting, estimating, CRM, or ERP platform is a plus. Training will be provided.

WHAT WE ARE LOOKING FOR

  • 1 to 3+ years of administrative, sales support, customer service, coordinator, or related office experience preferred.
  • Excellent phone presence and the ability to communicate with customers in a clear, professional, and helpful way.
  • Strong written communication, grammar, organization, and follow-through.
  • High attention to detail with confidence entering and reviewing customer and sales data.
  • Ability to manage several priorities, deadlines, and requests in a busy office environment.
  • Comfort asking questions, taking notes, learning processes, and owning tasks through completion.
  • Interest in learning sales, construction, steel buildings, manufacturing, or technical products.
  • High school diploma or equivalent required. College coursework or a degree in Business, Sales, Marketing, Construction, or a related field is a plus.

WHAT YOU WILL LEARN - (WE WILL TEACH YOU)

  • NetSuite sales workflows, customer records, opportunity tracking, order information, and reporting.
  • Metal Building Software (MBS) and how our Sales and Estimating teams use it.
  • Pre-engineered metal building products, terminology, customer needs, and project flow.
  • How quotes move from customer request through Estimating, Sales, Engineering, and Operations.
  • Sales follow-up, account development, customer relationship skills, and the foundations of consultative selling.

GROWTH PATH

This role is designed to develop talent. Strong performance in administration, systems, product knowledge, customer service, and sales fundamentals may lead to advancement into an Inside or Outside Sales Representative position.

WHAT SUCCESS LOOKS LIKE

You keep the sales team organized, customers informed, data accurate, and open items moving. You become someone the team can trust with systems and customer follow-up. Over time, you build enough product and sales knowledge to take on greater customer responsibility.

WHY SOUTHEAST STEEL SYSTEMS

  • Hands-on training in NetSuite, MBS, our products, and our sales process.
  • Direct exposure to experienced Sales Representatives, Estimators, and company leaders.
  • A defined opportunity to build skills for a future sales career.
  • Medical, dental, vision, company-paid life insurance, 401(k), paid time off, holidays, and other eligible benefits.

WORK ENVIRONMENT & EMPLOYMENT

This position works primarily in a professional office environment and may occasionally enter manufacturing areas. Reasonable accommodations may be made for qualified individuals with disabilities. Southeast Steel Systems is an Equal Opportunity Employer. Employment is at will. This job description describes the general nature of the role and may be updated as business needs change.
