Word Processing Staff

CSA Ocean Sciences Inc. (CSA) is a marine science and technical services consulting firm that provides a broad range of environmental, coastal, and oceanographic services worldwide. CSA seeks a person with word processing, and clerical skills to join our fast-paced team. This position is located at the Stuart, FL office.

Position Summary: The Word Processing staff provides critical support to technical and project teams by formatting with established MSWord styles and corporate formats and managing electronic filing of work products. This role ensures that all written materials produced by CSA meet the company's high standards for accuracy, consistency, and presentation, and comply with client and regulatory requirements including 508 compliance. The Word Processing staff works closely with authors, under the direction of the supervisor to format technical content into well-organized, professional documents that follow corporate styles to effectively communicate project results and recommendations.

Assignments will include using primarily MSWord for formatting and generating complex, technically oriented documents using specified templates, styles, graphics, tables, formulas, equations, and/or databases. The position requires problem-solving skills, willingness to learn, and the ability to successfully interact with multiple staff members across multiple projects. Some clerical tasks are also required for the position.

Required Knowledge, Skills, Abilities, and Education:
  • Proficiency in Microsoft Word, including advanced formatting, templates, styles, and document automation tools.
  • Working knowledge of Adobe Acrobat software preferred.
  • Demonstrated experience in formatting and organizing report documents.
  • Ability to follow established report and proposal word processing and submission processes and assist staff members as needed.
  • Support the development and collection of boilerplate materials, perform first-pass and final document formatting, content review, document printing, final assembly in accordance with corporate protocols.
  • Support internal (both domestic and international) clients in proposal formatting requirements.
  • Work collaboratively with an established team with minimal oversight.
  • Prioritize work during critical deadline-driven conditions under the direction of the supervisor.
  • Able to support parallel tasks and work under short deadlines, including working extra and flexible hours as periodically required.
  • Associates or bachelor's degree in a relevant field, such as Marketing, Professional Writing, Journalism, English, or an associated field.
  • Other related duties as assigned.

Applicants must possess current, long-term authorization to work in the United States; CSA is unable to initiate visa sponsorship. Letters of recommendation are required. An MSWORD skill assessment will be administered.
