Contracting Team Lead
Mississauga, Ontario
Position Summary
The Contracting Team Lead plays a critical leadership role in supporting the organization's commitment to delivering exceptional advisor service. As one of the first points of contact for advisors, the Contracting Team Lead oversees the advisor contracting process, ensures regulatory compliance, supports team performance, and drives operational excellence within the Contracting Department.
This position combines technical expertise in advisor contracting and licensing with leadership responsibilities, including coaching team members, assigning workloads, resolving complex issues, and collaborating with key stakeholders across the organization. The Contracting Team Lead must demonstrate exceptional attention to detail, strong organizational skills, and a commitment to delivering outstanding advisor service.
Main Objectives
  • Support newly recruited advisors through the contracting and onboarding process.
  • Ensure compliance with regulatory standards related to licensing, E&O insurance, and registrations.
  • Foster positive and professional communication with advisors, carriers, fund companies, and internal staff.
Workplace Model
  • On-site at the head office.
  • Salary: $70,000-$75,000
  • Monday to Friday: 8:30 a.m. - 5:00 p.m.
  • Occasional work outside regular business hours may be required based on business needs.
Supervision Received
Direct supervision is provided by the Contracting Consultant. All Contracting Associates report to the Head of Contracting and Compensation. Reporting relationships may change at any time at the sole discretion of the organization.
Key ResponsibilitiesLeadership and Team Management
  • Lead, coach, and support the Contracting team to ensure high performance, accountability, and exceptional service delivery.
  • Assign, prioritize, and monitor workloads to ensure service standards and departmental deadlines are consistently met.
  • Train, mentor, and onboard new Contracting Associates, providing ongoing guidance and support.
  • Establish work priorities and collaborate with team members to ensure efficient execution of departmental objectives.
  • Monitor service levels, productivity metrics, and team performance, identifying opportunities for continuous improvement.
  • Develop and implement process improvements to enhance operational efficiency and the advisor experience.
Advisor Contracting and Onboarding
  • Oversee and support the end-to-end advisor onboarding and contracting process, from initial referral through completion and activation.
  • Assist with advisor referrals for both mutual fund and insurance advisors and ensure timely follow-up throughout the onboarding process.
  • Manage complex advisor contracting cases independently and serve as the escalation point for challenging situations.
  • Create, maintain, and ensure the accuracy of advisor profiles within APEXA and other applicable systems.
  • Guide advisors and Advisor Group Associates (AGAs) through the establishment of contractual relationships with the organization.
  • Execute advisor agreements on behalf of the organization in accordance with company policies and delegated authority.
  • Ensure all advisor licensing, registrations, Errors & Omissions (E&O) insurance, and contracting requirements remain current and compliant.
Compliance and Licensing Administration
  • Manage and respond to licensing controls and compliance requirements for both life insurance and mutual fund advisors.
  • Monitor advisor licensing, registration statuses, and regulatory requirements to ensure ongoing compliance.
  • Act as the department's subject matter expert on contracting requirements, licensing regulations, carrier procedures, and industry standards.
  • Collaborate with Compliance and Sales Leadership to address contracting, licensing, and regulatory matters.
Carrier and Advisor Support
  • Build and maintain strong working relationships with insurance carriers, fund companies, and industry partners.
  • Resolve complex carrier-related issues and serve as the primary escalation point for contracting concerns.
  • Communicate professionally and promptly with advisors, carriers, internal departments, and external stakeholders.
  • Act as a liaison between advisors and internal departments to facilitate a seamless onboarding and transition experience.
Systems, Data Management, and Reporting
  • Maintain and regularly update Pipedrive, the Agent Contracting Tracker, and other departmental systems.
  • Ensure the accuracy and integrity of advisor records, including banking information, addresses, licensing details, and contractual data.
  • Process advisor terminations and ensure all systems, carriers, and relevant stakeholders are updated accordingly.
  • Prepare, analyze, and distribute reports related to contracting activity, advisor onboarding status, licensing compliance, and departmental performance metrics.
  • Track advisor book purchases and sales, ensuring documentation, approvals, and execution are completed accurately and within required timelines.
  • Lead and support MGA technology initiatives, including the implementation, testing, training, and ongoing optimization of platforms such as IntellectAI, as well as other projects that support departmental and organizational objectives.
Confidentiality and Professional Standards
  • Handle sensitive advisor, client, and company information with the highest level of confidentiality and professionalism.
  • Ensure adherence to company policies, procedures, regulatory requirements, and industry best practices.
  • Perform additional duties and responsibilities as assigned to support departmental and organizational objectives.

Skills and Qualifications
  • Minimum of 3 years of experience in advisor contracting, licensing, compliance administration, or a related financial services role.
  • Previous leadership, supervisory, or team lead experience preferred.
  • Strong knowledge of mutual fund and insurance industry contracting requirements.
  • Understanding of licensing, registration, and regulatory compliance requirements.
  • Exceptional organizational skills and attention to detail.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with CRM systems, advisor databases, and Microsoft Office applications. Proficiency in the Microsoft 365 Office Suite (Excel, Word, and Outlook) is required, along with the ability to adapt to new technology.
  • Ability to work independently, solve problems, and determine effective solutions while collaborating with the team to achieve organizational goals.
