Full Time Office/Clerical
Manassas, VA, US

Salary Range: $65,000.00 To $75,000.00 Annually

Johnson Truck Center – Manassas, VA – $65,000-$75,000

This position acts as a liaison between the service office and the shop. The expectation is for accuracy and timeliness related to assigning repair orders to technicians, estimating repairs using Procede and Uptime Pro, and reviewing narratives and vehicle information prior to estimating or invoicing. Developing technician schedules per job/customer request to prioritize repairs and meet necessary metrics is vital to this role. This role will need to be computer literate, able to implement and reinforce company processes, schedule and delegate day‑to‑day technician assignments, and work alongside the existing technical foreman. The Administrative Foreman reports to the Branch Service Manager and/or Branch Operations Manager.

Job responsibilities may include, but are not limited to: Profitability
  • Look to involve technicians, customer service representatives, and management in the repair decisions as needed and beneficial.
  • Maintain an ongoing awareness of critical factors that affect profitability such as proper estimating, excessive diagnosis time, unbillable repair time or unnecessary discounting.
  • Maintain a high level of service results by keeping profit objectives and productivity goals in mind.
Productivity & Efficiency
  • Must display a high level of farsightedness, always considering assignment of the best technician available for each repair while minimizing excessive moving of technicians between jobs.
  • Volume & customer satisfaction are critical to success. The administrative foreman must be creative in developing solutions for finding room in the schedule for drop‑in repairs. A successful administrative foreman must be flexible and adaptive in finding a way to get customers diagnosed in the shortest amount of time from when they arrive.
  • Monitor each technician as to efficiency and quality repairs; focus on maximizing shop throughput by effectively managing every labor hour on each job utilizing appropriate software applications to identify.
  • Actively maintain current knowledge of products in order to associate symptoms or failures to a specific technical bulletin or other published information.
Administrative Processing
  • Develop competitive customer cost estimates based on analysis of current market conditions and relevant company metrics including labor and parts costs, in order to ensure profitability.
  • Issue and receive purchase orders for shop requested sublet repairs.
  • Oversee current Work‑in‑Process (WIP) utilizing appropriate software applications continuously to ensure accurate and timely processing of all work orders. Any RO’s in WIP or on the Completed Log beyond the company standard should be addressed and resolved daily.
  • Review low margin jobs with the Service Manager prior to job close.
  • Administrative Foreman must gain an understanding of up‑sell opportunities and secure additional business whenever possible.
  • Monitors and manages the Service process in order to meet target times, advance the RO stages.
  • A thorough understanding of warranty guidelines, as well as a general technical understanding of our products, is required to accurately complete all warranty transactions.
