Job description

Role Description

The Print House is seeking a full-time, on-site Print Account Manager / Prepress Coordinator to join our front-of-house team.

This position combines customer account management, project coordination, and hands-on prepress preparation. You will serve as the primary point of contact for assigned customers and manage multiple print projects from the initial request through quoting, design, proof approval, production, and completion.

You will gather project specifications, prepare quotes, process orders, manage timelines, and keep customers informed throughout the process. When design assistance is required, you will act as the liaison between the customer and graphic designer, communicating project requirements, revisions, and feedback clearly.

Once a project receives final approval, you will review the artwork for print readiness, use Adobe and Imposing software to prepare the file for production, verify that it matches the order specifications, and add the completed job to the appropriate print list.

This is not a passive customer-service role, a sales-only account-management position, or a traditional graphic-design position. It requires strong customer-service skills, technical accuracy, urgency, accountability, and the ability to think ahead.

Work Ethic, Pace & Stress Expectations - Read Carefully

This is a fast-paced, high-responsibility position. Successful candidates remain focused and productive throughout their shift while managing multiple customers, projects, proofs, revisions, deadlines, and production requirements.

The role regularly involves:

  • Managing a multitude of customer accounts and projects at different stages
  • Handling time-sensitive requests and changing priorities
  • Communicating with customers, designers, production personnel, and outside vendors
  • Making timely decisions and solving problems before they affect production
  • Reviewing project details and files carefully to prevent costly errors
  • Following projects through to completion without losing track of outstanding items

Accuracy is essential. Mistakes can affect materials, production schedules, delivery deadlines, and customer trust. You must be able to remain calm, organized, professional, and solution-oriented under pressure.

We value positivity, momentum, accountability, and a โ€œfinish the jobโ€ mindset. If you prefer a slow, laid-back, or loosely structured work environment, this role will not be a good fit.

Key Responsibilities

Customer Account & Project Management

  • Manage multiple customer accounts and print projects from the initial request through completion
  • Serve as the primary point of contact for customer questions, updates, changes, and issue resolution
  • Gather complete project specifications, including quantities, dimensions, materials, finishing requirements, deadlines, delivery information, and intended use
  • Prepare quotes, process orders and purchase orders, and enter order modifications accurately
  • Educate customers about available products, materials, services, and production options
  • Recommend appropriate print solutions based on the customerโ€™s goals, budget, and timeline
  • Communicate expectations, pricing, changes, approvals, and deadlines clearly
  • Provide proactive project updates and follow up on missing information
  • Identify appropriate opportunities to upsell or expand services within existing accounts
  • Build and maintain professional, long-term customer relationships
  • Take ownership of problems and follow them through to resolution

Design & Proof Coordination

  • Act as the liaison between the customer and graphic designer
  • Translate customer requests into clear, complete design and production instructions
  • Communicate revisions and customer feedback accurately
  • Review proofs before they are sent to the customer
  • Follow up on outstanding proofs and approvals to prevent production delays
  • Obtain and document final customer approval
  • Confirm that approved artwork matches the final quote, order details, and customer expectations

Prepress & Production Preparation

  • Review customer-supplied and designer-prepared artwork for print readiness
  • Use Adobe and Imposing software to prepare and impose approved files for production
  • Create multi-up, step-and-repeat, cut-and-stack, booklet, gang-up, and other required imposition layouts
  • Check dimensions, orientation, page count, bleeds, crop marks, safe areas, resolution, fonts, transparencies, and color settings
  • Identify and correct common file problems before the project reaches production
  • Verify that the final file matches the ordered quantity, finished size, stock, substrate, printing method, and finishing requirements
  • Add production-ready projects to the appropriate print list
  • Provide clear and complete production instructions
  • Coordinate with the production team regarding specifications, priorities, deadlines, and file-related questions
  • Monitor projects through production and communicate any changes, concerns, or delays to the customer
  • Coordinate outside-vendor orders when a project cannot be produced internally
  • Maintain organized records and consistently follow established quoting, proofing, approval, prepress, and production processes

Required Qualifications

  • Previous account-management, customer-service, or project-coordination experience in a deadline-driven environment
  • Proficiency with Adobe Acrobat Pro
  • Working knowledge of Adobe InDesign, Illustrator, and Photoshop
  • Experience reviewing and preparing files for print production
  • Understanding of PDF preflight, bleeds, trim sizes, crop marks, safe areas, image resolution, fonts, transparencies, and color spaces
  • Knowledge of CMYK, RGB, spot colors, and Pantone colors
  • Understanding of common imposition methods and print-production workflows
  • Excellent verbal and written communication skills
  • Strong organizational, analytical, and problem-solving abilities
  • Exceptional attention to detail
  • Ability to manage multiple accounts, projects, and deadlines without becoming overwhelmed
  • Strong computer, typing, data-entry, and general office-software skills
  • Ability to work effectively with customers, designers, vendors, and production personnel
  • Willingness to accept direction, correction, and ongoing feedback
  • Dependable, punctual, and consistent in attendance and performance

Preferred Qualifications

  • Previous experience as a print account manager, prepress technician, print-production coordinator, or customer-service representative within a commercial print company
  • Experience preparing files for digital and wide-format printing
  • Familiarity with paper stocks, wide-format substrates, finishing methods, bindery processes, and outsourced print production
  • Experience managing print projects from quoting through invoicing and delivery

What Weโ€™re Really Looking For

We are looking for someone who can confidently manage both the customer-facing and technical sides of a print project.

The right person will:

  • Take responsibility for keeping projects organized and moving forward
  • Notice missing information, order discrepancies, and potential file problems before they create delays or costly mistakes
  • Communicate professionally and clearly, even in stressful situations
  • Stay productive without requiring constant supervision
  • Follow established processes while remaining flexible enough to solve unexpected problems
  • Understand that customer approval is not the final step - the file must still be prepared accurately and released properly to production
  • Take pride in accuracy, speed, customer service, teamwork, and follow-through

Schedule

  • Monday through Friday
  • 40 hours per week
  • Full-time, on-site position
  • No remote or hybrid work

Pay

$52,000โ€“$58,000 annually, based on relevant experience and demonstrated ability.

  • Candidates with strong commercial-printing knowledge, account ownership experience, Adobe proficiency, and hands-on Quite Imposing experience will be positioned toward the higher end of the range.
