Operations Manager

Fully onsite Downtown Pittsburgh - Parking not provided for first year

Contract 12 months with good chance to become permanent


Position Overview

We are seeking an experienced operations professional to oversee day-to-day workplace services within a busy corporate environment. This position combines team leadership, client relationship management, administrative operations, and service delivery oversight.

The person in this role will manage an onsite team while helping coordinate services across additional locations. This is a highly visible position with regular interaction with management and senior-level stakeholders and offers strong potential for long-term growth.


Primary Responsibilities

  • Supervise, coach, train, and support an onsite operations team.
  • Coordinate daily office service functions, including document scanning, electronic mail processing, records support, and print-related activities.
  • Monitor workloads, priorities, staffing needs, and service quality to ensure consistent daily operations.
  • Provide guidance and operational support to employees working at additional locations.
  • Serve as a key point of contact for client leadership and maintain strong professional relationships with internal stakeholders.
  • Track performance measurements, service standards, and operational results.
  • Prepare reports and assist with recurring business and service reviews.
  • Identify workflow issues and implement solutions to improve efficiency and service delivery.
  • Handle escalated operational or service concerns and ensure timely resolution.
  • Provide leadership coverage when senior operations management is unavailable.
  • Help maintain consistent procedures and service expectations across multiple offices.


Qualifications

  • 5+ years of experience managing and leading employees.
  • Experience coordinating operations across multiple offices, locations, or remote teams.
  • Comfortable working within a performance-driven environment where service levels, productivity, and quality are measured.
  • Strong reporting, organizational, and problem-solving abilities.
  • Advanced proficiency with Microsoft Excel, Outlook, Teams, and PowerPoint.
  • Strong written and verbal communication skills with the ability to interact professionally with senior leadership.
  • Ability to balance hands-on operational responsibilities with team and client management.


Preferred Background

  • Experience within a professional services or corporate office environment.
  • Background supporting workplace services, document management, facilities, administrative services, or business operations.
  • Experience supporting services for a large employee population.
  • Exposure to document, records, mail, print, or administrative service operations is a plus.
