Job description

Position Summary

The Facilities Assistant plays a key role in ensuring a clean, safe, organized, and efficient workplace environment. This position will work on site Monday-Friday from 12 to 5pm and will be responsible for supporting day-to-day facility operations, coordinating maintenance and repairs, maintaining office supplies and equipment, and providing general administrative and office support. The ideal candidate is service-oriented, detail-focused, and capable of managing multiple priorities while contributing to a positive experience for employees, visitors, and vendors.

What You Will Do

  • Maintain office supply inventories and coordinate ordering to ensure adequate stock levels.
  • Conduct routine inspections of office facilities and grounds to identify maintenance, safety, and operational needs.
  • Coordinate with vendors and service providers to schedule repairs, preventive maintenance, and facility-related services.
  • Maintain the cleanliness and organization of common areas, including kitchens, break rooms, conference rooms, and other shared spaces.
  • Receive, sort, distribute, and ship mail and packages.
  • Provide general administrative support and serve as backup reception coverage when needed.
  • Perform local errands, deliveries, and other office support activities.
  • Set up and break down meeting rooms and event spaces for company meetings, training sessions, and special events.
  • Restore meeting and event spaces to their original configurations following use.
  • Support facility operations at other company locations as needed through occasional travel.
  • Coordinate routine maintenance, inspections, cleaning, and operational readiness of company vehicles.

Required Qualifications
