ROLE AND PURPOSE:
  • To maintain student attendance records and to serve as secretary to the assistant principal(s).

QUALIFICATIONS:
Education/Certification:
  • High School Diploma/GED from an accredited institution, required.

Experience:
  • 2 years of data entry experience preferred
  • General Clerical Experience

SPECIAL KNOWLEDGE/SKILLS:
  • Bilingual Preferred.
  • Ability to maintain confidential, accurate and auditable records.
  • Ability to use computer and software to develop spreadsheets, databases, and do word processing.
  • Proficient typing, keyboarding, and file maintenance skills.
  • Ability to multitask, work well in a fast-paced environment, and meet established deadlines.
  • Strong organizational, communication, and interpersonal skills.
  • Detail Oriented.

MAJOR RESPONSIBILITIES AND DUTIES:
I. ADMINISTRATION SUPPORT:
  • Maintain attendance records on the mainframe computer
    • Enter each period's absentees and tardies.
    • Updates student records from call-in list.
  • Monitors absences
    • Calls parents of absent students who have not been cleared maintaining professionalism and exemplary customer service.
    • Reports any attendance problems to assistant principal(s) including attendance not taken on a daily basis.
    • At end of day, prints/types updated Unexcused Absence Summary and distributes to all teachers.
    • Prepares attendance reports.
    • Writes passes and admits for students.
  • Serves as secretary to assistant principal(s)
    • Receives telephone calls and takes messages as needed.
    • Performs general clerical duties, such as filing, typing letters, making appointments, etc.
    • Supports Assistant principal with day-to-day operations.
    • Interacts with parents, community members, and students in face-to-face interactions maintaining professionalism and exemplary customer service.
  • Supervises office aide.
  • Maintains confidentiality.
  • Other duties as assigned (for example-supports assignment of subs on a daily basis).

II. SHARED RESPONSIBILITIES:
(May vary with school situation)
  • Phone security for front door scan - raptor.
  • Assists Data Clerk when necessary.
  • Assists in clinic in nurse's absence.

III. WORKING CONDITIONS:

  • Tools/Equipment Used: Standard office equipment, including computers and peripherals; standard instructional equipment.
  • Posture: Moderate standing; occasional kneeling, squatting, bending, and stooping
  • Motion: Moderate walking
  • Lifting: Regular light lifting and carrying (less than 15 pounds)
  • Environment: Work inside and outside (exposure to sun, heat, cold, and inclement weather); exposure to noise
  • Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
