Job description

Vital ResearchVital Researchis seeking a highly organized, customer-focused Research Assistant - Scheduler to join our Aging & Disabilities team in support of a statewide Quality of Life (QOL) survey project. In this role, you'll help coordinate interviews with assisted living and nursing facilities, ensuring our research teams can successfully collect data that informs programs and services for older adults. This is a temporary position running from September through December 18, 2026.

What You'll Do
As a Research Assistant - Scheduler, you'll serve as the primary point of contact for coordinating interviews and keeping projects on track.
Scheduling & Coordination
  • Schedule interviews between nursing facility and assisted living staff and our Field Interviewers.
  • Conduct high-volume phone and email outreach to coordinate appointments, confirm schedules, and send reminders.
  • Resolve scheduling conflicts and communicate updates to project teams.
  • Build positive relationships with facility staff while providing outstanding customer service.

Project & Administrative Support
  • Monitor scheduling activities, maintain accurate project records, and communicate updates to internal project teams.
  • Assist with meeting documentation, document preparation, printing, mailing, and other project support activities.
  • Follow HIPAA, confidentiality, data security requirements, and project protocols.
  • Support additional project needs as assigned.

What You Bring
Qualifications
  • Bachelor's degree in a social science or related field preferred.
  • One year of experience in administrative support, customer service, healthcare, research, or a related field.
  • Availability to work in-office Monday-Friday, 6:00 a.m.-2:30 p.m. PT (approximately 40 hours per week).
  • Proficiency with Microsoft Office, including Excel; experience with Microsoft Access is a plus.
  • Comfortable using Zoom and other virtual collaboration tools.

Preferred
  • Experience supporting research, survey administration, evaluation, or healthcare-related projects.
  • Familiarity with healthcare terminology.
  • Experience using survey platforms such as Alchemer or Voxco.
