About Legal Prep

Legal Prep Charter Academy is a free, open-enrollment public charter school with a unique law-themed, college-preparatory model designed to prepare students from traditionally underserved communities for success in college, careers, and civic leadership. Founded in Chicago in 2012, Legal Prep integrates rigorous academics with real-world professional experiences, including law courses at every grade level and monthly skills-based programming with legal and business partners. The school pairs high academic expectations with trauma-informed, restorative practices and strong social-emotional supports, resulting in high persistence, strong college outcomes, and very low rates of exclusionary discipline. Legal Prep's Indianapolis campus, opening in Fall 2026 to serve grades 6–12, will build on this successful model while forming deep partnerships with the city's legal, civic, and business communities to prepare students for college, careers, and leadership.


Position Overview

Legal Prep is seeking an organized, customer-service-oriented Office Manager & Family Services Coordinator to serve as the primary staff member in the school's main office. This individual will be one of the first people students, families, visitors, and community members encounter when interacting with Legal Prep and will play a critical role in creating a welcoming, professional, and efficient school environment.

The Office Manager & Family Services Coordinator will work closely with the Director of Operations and Principal to manage the daily operations of the front office, oversee student registration and records management, support student recruitment and enrollment efforts, coordinate family communications, and ensure the smooth operation of administrative systems.

As a founding staff member at a new school, the Office Manager & Family Services Coordinator must be flexible, collaborative, and willing to assist wherever needed to support students, families, and staff.


Responsibilities
Front Office Operations
  • Serve as the primary receptionist for the school, greeting students, families, visitors, and community partners.
  • Answer and route incoming phone calls, emails, and inquiries.
  • Maintain a professional, welcoming, and organized front office environment.
  • Manage visitor sign-in procedures and building access protocols.
  • Receive and distribute mail, deliveries, and office communications.


Student Registration & Enrollment
  • Lead student registration processes and assist families with enrollment requirements.
  • Collect, review, and organize enrollment documentation.
  • Support onboarding and orientation activities for new students and families.
  • Maintain accurate enrollment records and ensure compliance with applicable requirements.


Student Records Management
  • Maintain student cumulative files and electronic records in accordance with school policies and applicable state and federal requirements.
  • Process records requests, transfers, and enrollment verifications.
  • Support attendance tracking and student information systems.
  • Ensure confidential student information is handled appropriately and securely.


Family Services & Communication
  • Serve as a primary point of contact for families seeking information or assistance.
  • Coordinate family communications, including newsletters, reminders, and event notifications.
  • Help plan and support family engagement events and orientation sessions.
  • Provide exceptional customer service and help families navigate school processes.


Student Recruitment & Community Engagement
  • Support student recruitment and enrollment efforts throughout the year.
  • Represent Legal Prep at recruitment events, school fairs, family information sessions, and community events, as needed.
  • Assist prospective families with the Enroll Indy process and school-specific enrollment requirements.
  • Conduct outreach and follow-up with prospective families to support enrollment goals.


Administrative Support
  • Provide administrative support to the Principal and Director of Operations.
  • Assist with scheduling, data entry, filing, purchasing, and office management functions.
  • Prepare reports, forms, and correspondence as needed.
  • Support school-wide events, testing days, professional development activities, and other operational needs.


Founding Team Responsibilities
  • Contribute to the development and refinement of school systems and procedures.
  • Assist with special projects and school initiatives as needed.
  • Demonstrate flexibility, initiative, and a team-oriented mindset in a start-up school environment.
  • Support the school's mission and culture through a willingness to pitch in wherever needed.


Qualifications
  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Prior experience in school operations, front office administration, customer service, family engagement, or a related field preferred.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong technology skills, including Google Workspace, Microsoft Office, spreadsheets, and student information systems.
