Position Title: Main Office Administrator

Department: Executive

Position Summary:

The Main Office Administrator position is first and foremost the face and voice for Cross Catholic Outreach through the front desk. Whether by phone or in person, donors will encounter a Christian witness reflecting the charism of the organization, which will in turn impact their future relationship with CCO. Second, the Candidate must be self-motivated and organized with the ability to prioritize and handle the multiple task menu. The position requires a Candidate to “coordinate the duties of the Main office front desk” so that staff and donors alike are assured of efficient and accurate results.

 

Educational or Certification Requirements:

·        High School Diploma

·        2 Years of College Preferred

Experience Requirements:

·        Telephone multiline experience

·        General Administrative Office Experience

·        Non-Profit experience preferred

Knowledge, Skills, & Character Required:

·        Is a consistent witness for Jesus Christ; maintains a courteous, Christ-like attitude in dealing with people within and outside of the ministry.

·         Feels a calling to serve God through serving Cross Catholic Outreach in this capacity.

Duties:

·        Answer incoming telephone calls from callers; direct incoming calls to respective departments or staff

·        Greet Guests for scheduled appointments and notify staff to retrieve their guests

·        Handle simple donor questions via phone and/or direct calls to respective staff

·        Prayer Request Images from MOORE RMG Prayer Image PDFs after extracting - open and print out for Staff Intercessory Prayer Devotions / for inhouse prayer

·        Prayer Request Remote – add prayer image packets containing prayer PDFs to SharePoint Remote folder for Tuesday Donor Prayer session

·        Ministry Support Thank You – record Cross receipts in Ministry Support Thank You excel file/ email pdf copy of receipt to labeled department staff & cc Tricia and place original documents w/envelope in Accounting Basket

·        Receive courier mail or FedEx/UPS package deliveries; Sort mail for disbursement to staff

·        Review sorted mail from Donor Ops team for disbursement to staff and for return to MOORE RMG data processing center

·        Circulate publications and sorted mail to respective staff folders/baskets

·        Collect USPS NIXY Mail to be boxed and shipped to MOORE RMG data processing office for processing

·        STAPLES and AMAZON Company Supply Orders – audit and send order request to Dir. of Admin for restock

·        Visitor Gift Bags – assemble the gift bags with specialized contents to have on hand

·        Maintain front office desk area; refill copier paper supplies, stationery, and envelopes

·        KONICA - HP Toner Supply Orders – track and request orders for HP and EPSON printer fleet

·        USPS / UPS Supplies –maintain and order supplies needed for mailing via USPS / UPS

·        Maintain Office Supply Inventory for the organization – monitor for excess or stagnation

·        Perform other tasks related to the task menu as needed by management. This role requires the ability to perform standard office functions, including prolonged sitting, standing, and computer use. Occasional lifting, carrying, or moving materials weighing up to 20 pounds may be required.  

·        This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means. Travel frequency is expected to be limited and scheduled in advance when possible.

Cross Catholic Outreach is a 501c3 Catholic relief and development ministry that provides food, shelter, medical care, water, education, self-help programs, care for orphans, and emergency relief to the poorest of the poor around the world in the name of Christ.

We mobilize the global Catholic Church to transform the poor and their communities materially and spiritually for the glory of Jesus Christ. Cross Catholic Outreach’s priority is to help “the poorest of the poor.” Our efforts reach those suffering extreme poverty in countries throughout the Caribbean, Africa, Asia, and Latin America.

Projects include relief for earthquake, flood, and tsunami victims, care and education for orphans and other vulnerable children, housing for the homeless, medicines and health care for the indigent, food for families suffering extreme malnutrition, and clean water for communities that have none, as well as micro-enterprise programs and other long-term development efforts to break the cycle of poverty.

In every case, our method of outreach is the same: Cross Catholic locates needy Catholic-based ministries serving the poor and distributes material aid through their existing programs.
