About The Role:
As our Assistant Practice Manager/Treatment Coordinator, you'll be the heart of the front office. You'll welcome patients, coordinate consultations, present treatment and financial options, manage scheduling, oversee patient communication, and keep the day-to-day administrative side of the practice running efficiently. You'll work closely with our doctors and clinical team to ensure every patient receives an exceptional experience from their first phone call through the completion of treatment.
This is the perfect role for someone who enjoys building relationships, staying organized, taking ownership, and making every day a little better for both patients and teammates.
What We're Looking For:
We're looking for someone with at least two years of dental or orthodontic office experience who is comfortable managing a busy front office, discussing insurance and financial arrangements, and confidently communicating with patients. You should be organized, dependable, detail-oriented, and able to multitask while maintaining a warm, professional presence. Strong computer skills, excellent communication, and a team-first attitude are essential, along with a commitment to maintaining compliance with HIPAA, OSHA, and all applicable regulations.

Responsibilities
You will be responsible for the following:
  • Lead and deliver an exceptional patient experience from the first interaction through treatment completion, ensuring every patient feels welcomed, informed, and valued.
  • Conduct new patient consultations, educate patients and families on treatment options and financial arrangements, and confidently guide patients toward starting treatment.
  • Partner with the doctors to drive practice growth by achieving key performance metrics, including production, collections, case acceptance, starts, scheduling efficiency, and budget goals.
  • Oversee the daily operations of the practice, optimizing patient flow, provider schedules, payroll hours, and overall office efficiency.
  • Recruit, train, coach, and develop team members while fostering a positive, accountable, and high-performing culture.
  • Build operational systems and implement company policies, procedures, and best practices to support the successful growth of a new office.
  • Cultivate strong relationships with patients, referring providers, community partners, and local organizations through outstanding service and marketing initiatives.
  • Effectively resolve patient and team concerns, promote open communication, and collaborate with doctors and leadership to maintain a positive work environment.
  • Ensure financial accuracy by overseeing collections, deposits, petty cash, and other administrative responsibilities while safeguarding company assets.
  • Maintain a clean, organized, and patient-centered office while ensuring compliance with all company policies and applicable federal, state, and regulatory requirements, including OSHA and HIPAA.

Qualifications
You will be required to possess the following:
  • Two (2) or more years of experience in orthodontic or dental practice operations, with leadership or management experience preferred.
  • Strong knowledge of dental and orthodontic terminology, treatment processes, and front office operations.
  • Exceptional written, verbal, and interpersonal communication skills with the ability to build trust and rapport with patients, providers, and team members.
  • A high level of professionalism, integrity, and accountability, with a positive attitude and the ability to lead through change.
  • Strong organizational, problem-solving, and independent decision-making skills with sound judgment and attention to detail.
  • A passion for leadership, continuous learning, team development, and delivering an outstanding patient experience.
