What You'll Do

As an Operations Coordinator, you will help keep the Miami office running smoothly while serving as a go-to resource for document imaging, printing, scanning, media duplication, mail, and delivery services. Supporting the Senior Operations Manager, you will coordinate across Facilities Services, Digital and Delivery Services, Food Services and Catering, Supplies and Purchasing, Safety and Security, Guest Services, and Space Planning. This is a highly visible role offering broad exposure to law firm operations, where your organization, professionalism, and problem-solving skills will make a measurable impact.
  • Lead copy, print, and digital production support: Serve as the office expert for digital imaging and mailroom services, completing complex document scanning, printing, reproduction, and media duplication requests with accuracy and efficiency.
  • Deliver responsive document services: Support lawyers and staff with a wide range of digital document processing, copy and print production, mail, and delivery needs while maintaining high quality standards and meeting time-sensitive deadlines.
  • Support equipment and production workflows: Use document scanners, printing equipment, photocopiers, and media duplicators confidently, applying technical knowledge to troubleshoot issues and keep work moving.
  • Coordinate office operations: Help manage projects, meetings, events, documentation, status reporting, and operational records while tracking progress and identifying opportunities to improve processes.
  • Strengthen processes and collaboration: Partner across departments to implement best practices, streamline workflows, improve efficiency, and support successful project and event execution.
  • Provide exceptional service: Assist visitors and clients, answer incoming calls, monitor the department email account, and coordinate internal teams or vendors to address office and catering needs.
  • Coordinate facilities requests: Work with Operations teams and property management to address building-related tickets, service requests, and office needs.
  • Support workplace preparedness: Partner with Physical Security and building management to coordinate Cardiopulmonary Resuscitation and Automated External Defibrillator (CPR/AED) training, emergency response activities, and building and life-safety drills.

What You'll Bring
  • Education: Bachelor's degree preferred or equivalent hands-on experience in operations or facilities management.
  • Experience: 5+ years of experience in operations or facilities development and management, along with hands-on experience in a combined mailroom and digital production copy and print environment
  • Copy and print expertise: Strong working knowledge of document scanners, production printing equipment, media duplicators, digital imaging workflows, and mailroom and delivery practices.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (PowerPoint, Excel, Word, OneNote, SharePoint), Microsoft Windows, and web-based applications.
  • Operational Expertise: Experience with mailroom, print/digital production, and general office services, with the ability to troubleshoot and manage complex workflows.
  • Communication & Relationship Building: Excellent written and verbal communication skills with the ability to collaborate effectively across teams and levels.
  • Organization & Multitasking: Proven ability to manage multiple priorities, meet tight deadlines, and maintain attention to detail in a fast-paced environment.
  • Customer Focus: Strong service mindset with a commitment to delivering high-quality support and solutions.
  • Professionalism & Initiative: A proactive, self-starting approach with sound judgment, discretion, and the ability to work independently and as part of a team.
