The Practice Assistant II for the Division of Otolaryngology supports the administrative aspects of the division by supporting some of the surgeons. This role is under the direct support of the Senior Administrative Director.
The Otolaryngology Division is comprised of 14 Surgeons, 4 Nurse Practitioners, 10 Audiologists, and 5 Speech Language Therapists. There are 11 full time Practice Assistant's that support the daily practices of our clinicians. The role of the Practice Assistant II is to provide administrative support to assigned surgeons and ensure that their practice is functioning appropriately.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
General Duties and Responsibilities:
Perform duties under moderate supervision with intermediate to advanced proficiency in administrative skills
Act as a super user for scheduling, registration, and billing systems. Provide training and assistance to others in these areas
Schedules patient office appointments; coordinating with others as appropriate. Provides information to physician and clinical team as appropriate.
Refers patients to appropriate hospital departments for registration, referral and financial services as needed.
Obtains, provides and maintains medical records in support of patients visits, surgeries, and billing other needs.
Maintains high level of knowledge and skill in the use of appropriate electronic systems to obtain and
provide information.
Provide routine and more complex administrative support as: typing memos and letters, answering phones, and taking and distributing messages.
Coordinate calendar and schedules including: provider meetings, provider clinic sessions and all other calendar management requests
Maintains surgeons office to include: calendar management, travel, office reception, mail processing, correspondence and reports and related responsibilities of a secretarial nature
Ensures timely renewal and maintains files of Surgeon's medical license(s), DEA certificate, professional liability insurance, etc.
Maintains and advanced level of knowledge regarding insurance and billing practices. Attends meetings and educational sessions to secure this knowledge base.
May schedule OR cases
Participates in periodical staff meetings and other department meetings
Cross covers other staff members (breaks, lunches, vacations, leaves etc)
Assist with special projects as directed.
Follow HIPAA guidelines for the management of patient privacy and confidentiality
Other duties, as assigned


Qualifications

QUALIFICATIONS

Level of education required:

Minimum of a high school diploma or GED

Work experience required:

Minimum of one year applicable work experience required

Some additional training in office systems or other post high school education preferred.

Technical skills required:

Knowledge of practice operations and standards.

Ability to problem solve with limited direction

Effective communication to maintain positive working relationships with Division employees

Strong customer services skills in a high-volume setting

Systems skills including Microsoft Office Suite, and EPIC is preferred

Initiative and ability to work independently and lead/work in teams

Excellent organizational, analytical and time-management
