Description

As a PPM System Admin, you will be responsible for the administration, optimization, and support of SCCUโ€™s PPM platform within the Project Management Office. This role ensures system integrity, accurate data management, effective workflow configuration, and consistent delivery of reporting and analytics to support organizational decisionโ€‘making. The PPM System Administrator manages system configuration, user access, data governance, and resource management; develops and maintains dashboards and reports; troubleshoots technical and functional issues; and drives process improvements to enhance project and portfolio management capabilities. The role also provides user training and serves as a liaison between the PMO, IT, and business stakeholders to ensure the platform meets evolving organizational needs. This is highly visible position where the users of this platform include Executives, Project/Program Managers, Resource Managers and Team Members.

PPM System Admin Responsibilities:

  • Administer, configure, and maintain the SCCUโ€™s PPM platform, ensuring reliable dayโ€‘toโ€‘day system performance and data accuracy across all portfolios.
  • Troubleshoot, document, and resolve system and configuration issues; elevate complex problems when necessary to ensure timely resolution.
  • Develop, enhance, and maintain dashboards, reports, and data visualizations using the PPM platform and Power BI to support leadership decisionโ€‘making.
  • Analyze business needs and translate requirements into technical configurations, workflow automation, integrations, and process improvements within the PPM environment.
  • Design, build, and implement custom configurations within the PPM toolโ€™s development environment, ensuring all enhancements are fully tested, validated, and prepared for deployment to production.
  • Provide user support, training, demonstrations, and clear process documentation to improve system adoption and enhance user proficiency.
  • Support strategic planning by managing the project intake process, tracking business cases, generating preliminary resourceโ€‘loaded plans, and conducting whatโ€‘if scenario planning. This results in recommendations regarding the mix and timing of projects to maximize resource utilization and support SCCUโ€™s strategic objectives.
  • Oversee and manage the PMO's SharePoint document library, creating new project subsites, managing approval workflows, and performing quality assurance on documents to ensure project managers adhere to SCCU standards.

PPM System Admin Minimum Qualifications

The ideal candidate will bring proven experience administering enterprise level PPM systems such as Planview, Clarity, Microsoft Project Server, ServiceNow PPM, Primavera, or similar system, Planview ProjectAdvantage is highly preferred. A strong understanding of project management, portfolio management, resource planning, and demand management concepts is required. Success in this role requires proficiency in data analysis, workflow configuration, data governance, system integrations, and the ability to produce meaningful insights through reporting tools such as Power BI and PPM system reporting modules. Candidates must demonstrate strong analytical, problem solving, and troubleshooting skills with exceptional attention to detail, as well as the ability to work independently, manage multiple priorities, and perform effectively in both structured and ambiguous environments.

3โ€“5 years of experience administering enterprise Project Portfolio Management (PPM) platformsโ€”such as Planview (preferred), Clarity, Microsoft Project Server, ServiceNow PPM, Primavera, or similar toolsโ€”and working within a Project Management Office (PMO), IT governance, enterprise systems administration, or business process management environment.

Bachelorโ€™s degree in business, computer science, engineering, or similar STEM concentration is required. Equivalent work experience.

PPM platform training or certification in Planview, Clarity, ServiceNow PPM, Microsoft Project Server, or Primavera strongly preferred.

Power BI or data analytics training is highly beneficial, including experience with data modeling, reporting, and visualization.

$66,650 - $70,583
