Job description

Primary Purpose
Facilitate the efficient operation of the school administrative office and provide clerical services for the school's counseling center. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
Qualifications
Education/Certification/Licensure
High school diploma or GED
Special Knowledge/Skills
Effective communication and interpersonal skills
Proficient computer, typing, word processing, and spreadsheets skills
Strong organizational skills
Ability to maintain confidentiality
Experience
Minimum of 5 years secretarial experience, preferably in a public education environment
Major Responsibilities and Duties
  1. Perform usual office routines and practices associated with a productive office (e.g., correspondence, telephone, scheduling, mail distribution, etc.)
  2. Exercise good telephone etiquette; take reliable messages and route to appropriate staff; answer questions relating to scholarships, SAT, ACT, THEA, admission testing schedules, evening meetings, college night, awards night, and other counselor-related duties.
  3. Establish and maintain files and provide information from the files such as student records, teacher records, extracurricular activities.
  4. Maintain confidential student post-secondary endeavors.
  5. Manage credit by exam process.
  6. Assist students with paperwork.
  7. Supervise student office workers.
  8. Type and prepare NMSQT applications.
  9. Prepare and copy all college related testing and registration information.
  10. Update forms; anticipate work needs; order and distribute supplies; administer projects effectively.
  11. Assist with design and annual update of school profile.
  12. Maintain and organize student college application files and tracking system.
  13. Schedule college representatives' visits.
  14. Schedule meetings and appointments and maintain calendar for head counselor.
  15. Exhibit CCISD Core Values of trustworthiness, respect, responsibility, fairness, caring, and citizenship.
  16. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
  17. Stay up-to-date professionally through the selection of quality professional learning opportunities for personal growth.
  18. Research district policy, precedent, and current practices prior to taking action.
  19. Participate as an effective team member who contributes to district, department, and content goals.
  20. Demonstrates proficient levels of technology applications.
  21. Participates fully in drills and safety exercises to provide for the safety and overall emotional wellbeing of students.
  22. Utilize time wisely for effective management of job responsibilities.
  23. Maintain punctuality in daily work times, appointments, and meetings.
  24. Meet task completion deadlines established by supervisor.
  25. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  26. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  27. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  28. Perform other duties and accept other responsibilities as assigned.
