Accountant / Bookkeeper (Construction Company)

The Opportunity

We are seeking a detail-oriented Accountant / Bookkeeper to join our in-office team in Kalamazoo. In this role, you will be the day-to-day backbone of our accounting function, partnering closely with the Controller to keep payroll, receivables, payables, and office operations running smoothly.

What You'll Do

  • Own weekly payroll processing from collection and review of time tickets through final submission, ensuring accurate and timely pay for field and office staff (including certified prevailing wage payroll when applicable).
  • Manage full-cycle accounts payable: code invoices to the correct jobs and accounts, post material tickets, organize and file documentation, and keep vendor records current and accessible.
  • Drive accounts receivable: prepare and send invoices for trucking, small excavating, toll road, and snowplowing work; apply payments; manage AR spreadsheets; and execute structured collection follow-up and monthly statements.
  • Build and maintain clear, reliable spreadsheets and job-related documents, including job assignment lists, rental rate sheets, and material increase letters, so operations teams always have up-to-date information.
  • Provide professional front-office and administrative support, including phones, mail, compliance files, permits, COIs, office supplies, job folders, and audit support, helping the office stay organized, responsive, and audit-ready.

What Success Looks Like

  • Within 3 months, you are independently processing accurate payroll on schedule, with minimal corrections and solid understanding of our time-ticket flow and systems.
  • Within 6 months, vendor bills and customer invoices are entered, coded, and filed consistently; AP and AR aging reports are clean, and collection calls and statements follow a predictable, effective rhythm.
  • Within 612 months, your spreadsheets, filing systems, and digital records are reliable reference points for the Controller and leadership, reducing time spent hunting for information and supporting a smooth annual audit.
  • On an ongoing basis, you proactively spot small issuesbilling discrepancies, coding errors, missing documentationand resolve or escalate them before they become larger problems.

What We're Looking For

  • MInimum 5+ Hands-on experience with basic accounting functions, including payroll, accounts payable, and accounts receivable, ideally in a small to mid-sized business environment.
  • Comfort working in Excel (creating and modifying spreadsheets with formulas), along with solid PC skills in a Windows environment; familiarity with ComputerEase and pivot tables/macros is a plus.
  • High attention to detail, strong organization and time management, and the ability to juggle recurring deadlines (payroll, billing, statements) with day-to-day office needs.
  • A dependable, in-person team member with professional communication skills, customer service mindset, integrity, and a willingness to pitch in wherever needed to keep the office running smoothly.
