Port Operations & Receiving Specialist

Port Operations & Receiving Specialist is responsible for monitoring import entries, ensuring complete document traceability, tracking compliance milestones, and managing timely closeout of all related records. This role ensures regulatory compliance, accurate recordkeeping, and coordination with internal teams and external stakeholders to prevent penalties, delays, or documentation gaps.


Port Operations & Receiving Specialist Responsibilities:

Port Operations Oversight

  • Oversee inbound shipments at assigned ports to ensure timely discharge and processing.
  • Coordinate with terminal operators, stevedores, carriers, and drayage providers to maintain efficient material flow.
  • Monitor unloading activities and confirm quantities and physical condition upon arrival.
  • Ensure materials are properly staged, segregated, and prepared for inland transport.
  • Track vessel arrival schedules and adjust operational plans as needed.

Material Verification & Handling

  • Confirm shipment quantities, weights, and identifying markings against shipping documents.
  • Coordinate inspections when required and ensure operational readiness for release.
  • Identify and escalate operational bottlenecks impacting turnaround time.
  • Support load planning and release sequencing to optimize transportation efficiency.

Transportation & Release Coordination

  • Schedule and coordinate outbound transportation from port to final destination.
  • Ensure required documentation is in place prior to material release.
  • Communicate daily status updates on port inventory and pending releases.
  • Monitor dwell time and implement actions to reduce storage and demurrage costs.

Performance Tracking & Reporting

  • Maintain operational tracking logs for inbound and outbound material movement.
  • Report on key metrics including turnaround time, dwell time, and receiving accuracy.
  • Support continuous improvement initiatives to enhance port efficiency and reduce delays.


Port Operations & Receiving Specialist Skills & Qualifications/Requirements:

  • Associate’s or Bachelor’s degree in Supply Chain, Logistics, Operations, or related field preferred.
  • 3–5 years of experience in port operations, terminal coordination, logistics operations, or heavy materials handling.
  • Experience working directly with port terminals and transportation providers preferred.
  • Strong understanding of freight movement and port discharge processes.
  • Strong operational coordination and execution skills.
  • Ability to manage multiple shipments and priorities simultaneously.
  • Proficiency in Excel and logistics tracking systems.
  • Results-driven with a focus on efficiency and cost control.
  • Ability to work in a fast-paced, high-volume port environment.
  • Strong communication skills for coordination with external operators and internal teams.


Job Type: Full-time

Salary: $75,000-$85,000 annual salary
