Sales Assistant
Job Summary:
We are seeking a detail-oriented and proactive Sales Assistant to provide essential support to our sales operations. The successful candidate will be responsible for efficient order processing, customer communication, and accurate data management. This role is crucial for ensuring smooth sales administration, maintaining organized records, and contributing to team efficiency through strong organizational and communication skills.
Key Responsibilities:


  • Order Processing & Documentation: Prepare and process PIs (Proforma Invoices) and POs (Purchase Orders). Maintain and update QB summary tables and sales databases. Collect and verify PODs๏ผˆProof of Delivery๏ผ‰and update relevant tracking systems.

  • Customer Support: Respond promptly to customer inquiries via email and phone. Coordinate with logistics and other departments to resolve customer issues. Maintain organized records of customer communications and transactions.


  • Data Management & Reporting: Compile and analyze sales data to generate weekly/monthly reports. Ensure all sales documentation is accurate and up-to-date.

  • Process Improvement: Identify opportunities to streamline sales operations (e.g., optimizing QB system use). Collaborate with team members to improve efficiency in order processing.

  • Other tasks as assigned

Qualifications & Experience:

  • Diploma or degree in Business Administration, Sales, or related field.
  • Must be fluent in English and Mandarin (Speaking, Reading, Writing, Listening)
  • 1-2 years in sales support, administration, or customer service.
  • Proficiency in QuickBooks (QB), MS Office (Excel), and CRM tools.
  • Strong communication, multitasking, and problem-solving abilities.

Preferred Experience:

  • Experience in international trade or logistics.
  • Familiarity with OA systems and sales documentation.
