Job Description

This role will be leading the portfolio management of an Olympus division team within the Global Medical Project Management Office (gPMO). The role will lead execution and reporting of the Divisions' strategic priorities as well as implement and leverage the necessary Project & Portfolio Management (PPM) tools to efficiently manage the project portfolio and the standardization of portfolio management processes on a global scale.

The qualified candidate will be accountable for managing the Resource Analysis Process (RAP) of the assigned prioritized portfolio as well as supporting strategic business planning, managing the project activation, project execution and reporting. He/she will also oversee and manage the team responsible for the communication, execution, and reporting of Business Unit Project Approval Boards (PAB). This individual will work closely with PMOs, Strategy and Portfolio Management team, Market Intelligence, Marketing and Finance departments to gather the right inputs and develop the necessary deliverables in order to enable decision making. He/she will provide support on a broad range of projects of strategic importance to Olympus and present to various leadership levels of the organization. 

Job Duties

Accountable for driving rigor, discipline, value, and sustainability in project portfolio management processes in order to influence a culture of accountability for timely product launches, process efficiency, and development of high-quality of project management competencies to achieve business goals. Specific responsibilities include:

  • Partners with Project Management leadership to ensure BU portfolio management enables enterprise-wide strategy.
  • Oversee flawless and timely BU PAB meeting execution (agendas, scheduling, documentation, minutes, decisions, & actions, communications).
  • Track project Global KPIs and collaborate with PMOs and Project Managers to understand drivers and implications of project KPIs through subsequent changes. Ability to assess broadly across BU portfolios so support divisional escalations.
  • Provide guidance and oversight for the RAP of the assigned portfolio. Coach teams to distill results and reports to BU leadership for approval.
  • Utilize resource data to validate project capacity analysis and provide feedback on portfolio tradeoffs to support the RAP (e.g. identify under/over-utilization of resources, recommend trade-offs to optimize the portfolio and prepare proposals to start the next project based on capacity).
  • Lead portfolio governance processes, including project intake, prioritization, resource planning, and stage-gate decision-making(aligned to Design Control requirements)
  • Establish transparent visibility into portfolio health, risks, constraints, and resource needs, enabling timely escalation and decision support.
  • Collaborate with the gPMO on global Continuous Improvement initiatives to ensure regional alignment, while coaching and mentoring Project Managers, Core Team Members, Functional Managers, Leadership Team members, and Project Approval Board members on effective process execution, professional behaviors, and key competencies.
  • Partner with Finance & S&PM for BU portfolio analysis and ad hoc requests as it relates to Strategic Business Planning, FY planning, and long-term financial modeling.
  • Responsible for analyses, compilation, verification of data integrity, development, and delivery of reports critical to strategic plan for standard and ad hoc requests.
  • Through others, data integrity and compliance of project data in the PPM Tool being accurate, up-to-date, and compliant with expectations.
  • Provides direction, coaching, mentoring, and oversight to direct employees.
Job Qualifications

Required:

  • BS Degree in Engineering or Technical Field, Business or  IT Field required (MBA preferred).
  • Minimum of 8 years of experience in any of the following disciplines: R&D, Eng., Project Management role/ 6+ YOE managing New Product Development Projects.
  • Minimum of 5 years of experience in the medical device field.
  • Experience with applicable FDA guidance's, ISO 13485 regulations and applicable industry standards.
  • Minimum of 2 years of successful demonstrated experience managing direct reports. 
  • Position requires between 10 to 20% domestic and international travel.

Preferred:

  • Trained or Certification in PMI, Lean, or Design for Six Sigma preferred.
  • Demonstrated planning and organizational skills with background and experience on project management principles, practices, techniques and tools.
  • Must be able to work independently and be self-motivated with a strong sense of urgency and drive for results.
  • Effective at dealing with change and ambiguity as business needs shift, demonstrating flexibility while ensuring compliance and managing stress well.
  • Experience using Claude, CoPilot or ChatGPT for data analysis is preferred.
  • Excellent verbal and written communication skills and comfortable and adaptable presenting to different audiences and levels of the organization.
  • Strong leadership skills and the ability to operate effectively in a team environment.
  • Group facilitation, mediation, and conflict resolution skills.
  • Ability to analyze complex problems, interpret operational needs, and develop integrated, creative solutions.
  • Expert level of Microsoft Project and proficient in Excel, Power Point, Visio, Word, and PowerBI (or similar tool).

The anticipated base pay range for this full-time position in this location is $137,657.00 - $192,722.00 / year, plus potential for annual bonus (subject to plan eligibility and other requirements).
