Job Description: PMO - Occupancy Planning & Projects

Onsite | Atlanta, GA | Confidential Enterprise Client


What this job involves

This is a high-visibility, onsite leadership role supporting a confidential, high-profile enterprise client in Atlanta. The PMO runs the full project cycle - from planning, through construction, to the final move - directing Occupancy Planning (OPM), Project Delivery Services (PDS), and Relocation Project Management (RPM) against a single project plan to ensure on-time delivery. The role brings deep, hands-on expertise in occupancy planning, with PMO-level oversight of PDS and RPM, acting as the client's day-to-day strategic advisor and trusted right hand to the Head of Corporate Real Estate (CRE) across all three functions, and a direct partner to the client's business units and their administrative liaisons.

This is a hybrid role by design: equal parts technical practitioner, program lead, and relationship manager. The right person is a hands-on occupancy planning specialist who can also direct a project end to end, from design through construction and the final move, holding OPM, PDS, and RPM to one project plan and timeline, and confident enough to represent JLL and the client's CRE leadership in front of senior stakeholders and executive leadership across all three functions.

Key Responsibilities include:

Strategic Advisory & Client Partnership

  • Serve as the client's primary onsite point of contact and strategic advisor across the full project cycle - occupancy planning, project delivery, and relocation - acting as a direct extension of the Head of CRE.
  • Build and manage relationships directly with business unit leaders and their administrative liaisons, translating business needs into space, occupancy, project, and move solutions.
  • Anticipate and resolve business unit-level issues, whether space-related, project-related, or move-related, before they escalate, shielding CRE leadership from day-to-day noise while keeping them informed on what matters.
  • Bring political savvy and sound judgment to sensitive, high-visibility situations involving senior stakeholders, on either side of the role.

Team Leadership

This role runs the full project cycle as one integrated PMO: Occupancy Planning (OPM) sets the plan, Project Delivery Services (PDS) builds it, and Relocation Project Management (RPM) executes the move, with this role directing all three teams against a single project plan to ensure on-time, on-budget delivery.

Occupancy Planning & Management

  • Lead and develop a team of occupancy planners, setting priorities, quality standards, and workload distribution.
  • Personally skilled in occupancy planning and CAD, able to guide, quality-check, and step into technical work as needed.
  • Oversee space planning, portfolio planning, and project programming, setting the plan that PDS and RPM execute against, from single relocations to large-scale group moves.
  • Champion CAD and space data standards across the team, including layering, poly-lining, and as-built documentation.

Project Delivery Services (PDS)

  • Provide PMO-level oversight of PDS projects, ensuring clear scope, timelines, and accountability to the project plan.
  • Drive the PDS team to deliver the full project lifecycle for projects of every size, from small fit-outs and relocations to large capital Projects: initial assessment, programming and feasibility, design, construction, and commissioning.
  • Set priorities, staffing, and workload distribution across active projects.
  • Track and report project status, dependencies, and risks across all three teams in a format suited to executive-level review.

Relocation Project Management (RPM)

  • Provide PMO-level oversight of RPM's day-to-day Moves, Adds, and Changes (MAC) activity, as well as the move-in phase of every PDS project, ensuring clear scope, timelines, and accountability to the project plan.
  • Drive the RPM team to execute moves, adds, and changes, and project move-ins, efficiently and with minimal disruption to end users, in alignment with the project plan and portfolio strategy.
  • Set priorities through on-account MAC lead to ensure adequate staffing and workload distribution across active MAC volume and scheduled project moves.
  • Track and report MAC and move status, dependencies, and risks across all three teams in a format suited to executive-level review.

Contractual Compliance & Performance

Occupancy Planning & Management

  • Drive the team to meet all contractual OPM service level requirements, including data governance and integrity, space tracking and audit, and space reporting.
  • Lead the team to ensure occupancy data, floor plans, and as-built records are accurate, current, and produced on schedule, in full compliance with client standards.
  • Ensure the team maintains the quality assurance and validation procedures required to keep the account audit-ready at all times.

Project Delivery Services (PDS)

  • Lead the PDS team to meet contractual scope, schedule, and cost-accuracy requirements at every project stage, from initial assessment through commissioning.
  • Ensure Business Unit sign-off on scope, schedule, and cost is documented before design begins, per contract requirements.
  • Ensure competitive bidding, contractor negotiation, and cost savings are tracked, documented, and reportable to the client on a per-project and portfolio basis.
  • Ensure every project closes out to contractual standard: fully commissioned, punch-list complete, with all documentation, warranties, and sign-offs on file.
  • Maintain the project governance cadence the contract requires, including meeting agendas, minutes, and action-item follow-up, to keep the account audit-ready at all times.

Relocation Project Management (RPM)

  • Drive the RPM team to meet contractual Moves, Adds and Changes (MAC) service-level requirements, including turnaround time, accuracy, and minimal disruption to end users, as well as on-time move-in for every PDS project.
  • Ensure Business Unit request and approval documentation is captured for every move, add, and change, per contract requirements.
  • Track and report MAC volume, cost, and cycle-time metrics, and project move-in performance, to the client on a recurring basis.
  • Maintain the MAC governance cadence the contract requires, including request intake, prioritization, and close-out documentation, to keep the account audit-ready at all times.

Communication and Collaboration

  • Communicate clearly and credibly with audiences ranging from administrative staff to C-suite executives.
  • Consolidate occupancy data, floor plans, and project and MAC status from all three teams into polished reports and presentations for client and JLL leadership.
  • Partner closely with the JLL account team, Account Director, and internal service lines to ensure coordinated delivery across OPM, PDS, and RPM.

Ideal Candidate Profile

  • 7-10 years of occupancy planning / project management / PMO experience
  • Bachelor's degree in architecture, interior design, project management or related curriculum. MBA or related master's degree a plus.
  • Deep, hands-on expertise in occupancy planning, with proven experience providing PMO-level oversight of project delivery and/or MAC functions across the full project cycle, or a strong track record in occupancy planning with clear readiness to run all three.
  • Hands-on proficiency in CAD and space/occupancy planning tools; comfortable with data-heavy analysis (Excel pivot tables, v-lookups) as well as floor plans and move logistics.
  • Discipline to manage scope, timeline, budget accuracy, and reporting rigor across occupancy planning, project delivery, and MAC functions, holding every phase to a single project plan.
  • Extroverted, confident communicator who builds trust quickly and can hold their own with senior business unit leaders.
  • Politically savvy: reads a room, manages competing agendas, and knows when to escalate versus when to resolve independently.
  • Comfortable operating in a confidential, high-profile client environment where discretion is essential.
