Job description


Position Overview:

The Residential Regional Manager will report directly to the Director of Property Management and will be responsible for overseeing and managing the on-site staff at residential properties. This role involves supervising field operations, ensuring compliance with relevant government regulations, and optimizing property maintenance and operational efficiency. The supervisor will develop and implement preventive maintenance programs, conduct property inspections, and oversee tenant relations and rent collections. This position ensures a high level of service to residents while maintaining cost-effective measures for property owners.

Key Responsibilities:

  • Supervisory
  1. Provide leadership, supervision and team support for the Property Managers, administrative staff and onsite maintenance. Prepare and deliver annual performance evaluation for direct reports.
  2. Provide oversight and manage day to day office activities.
  • Rent Collections
    • Ensure the timely and accurate collection of rent and other payments from tenants each month, in line with lease agreements.
    • Issue Notices for delinquent rent payments and ensure compliance with payment policies.
  • Vacancy Management
    • Oversee the turnover process for vacant units, ensuring timely completion of repairs, cleaning, and decorating to prepare units for new tenants.
  • Leasing and Tenant Eligibility
    • Supervise the management of the property waiting list and ensure adherence to tenant selection policies and eligibility criteria.
  • Site Visits
    • Conduct on-site visits to properties at least twice a week to monitor operations and ensure property standards are maintained.
  • Inspections
    • Coordinate necessary property inspections with the maintenance and engineering team. Attend and manage inspections, including but not limited to:
      • Property inspections (biannual per unit)
      • Fire Pump, Boiler, HVAC, Plumbing, and other necessary annual inspections
      • Construction and permit reviews
      • Housekeeping and maintenance inspections
      • HUD, IDHA, CHA, and other occupancy-related reviews
  • Maintenance Supervision
    • Supervise Property Managers and on-site maintenance teams to ensure the building is properly maintained, including both interior and exterior areas.
    • Ensure timely service requests and maintain janitorial supplies and inventories.
    • Ensure residents are provided with a safe, clean, and well-maintained environment.
  • Minor Property Repairs
    • Oversee minor repairs as outlined in lease agreements and management contracts. Ensure that repairs are completed according to the terms of the agreement and that owner approval is obtained for significant expenses, except in emergency situations.
  • Reporting
    • Review and reconcile accounts receivable on a monthly basis.
    • Prepare quarterly Property Evaluation Reports summarizing property performance, including income, expenses, and forecasts.
  • Tenant Relations
    • Ensure that tenants have a positive living experience by maintaining a clean, safe, and well-maintained property.
    • Address tenant inquiries, concerns, and rent-related issues with professionalism and timeliness.
  • Miscellaneous Responsibilities
    • Keep supervisors informed of any relevant correspondence and operational updates.
    • Evaluate the performance of on-site staff, providing feedback and implementing improvements where necessary.
    • Prepare reports forecasting business activities and financial status, based on past and current operations.

Qualifications and Requirements:

  • Education and Experience:
    • 4 to 10 years of relevant experience in property management or a related field, or an equivalent combination of education and experience.
  • Skills and Abilities:
    • Strong leadership and supervisory skills.
    • Ability to analyze and resolve complex issues and perform detailed work with accuracy.
    • Excellent written and verbal communication skills.
    • Proficient in property management software and Microsoft Office Suite.
  • Reasoning Ability:
    • Ability to define problems, collect data, establish facts, and draw valid conclusions. Must be able to interpret technical instructions and handle abstract and concrete variables.
