Service Coordinator/Estimator

Purpose of Position:
The Service Coordinator/Estimator is responsible for managing and coordinating various aspects of service operations to ensure smooth and efficient delivery to clients. This will include scheduling, dispatching, and customer service, as well as maintain accurate records and collaborate with other departments. In addition, this role will be responsible for estimating costs including materials, labor, equipment, and overhead for HVAC, piping, and plumbing projects by analyzing blueprints and specifications.

Job Location: Irvine, CA.
Reporting Structure:
The Service Coordinator/Estimator reports directly to the Regional Manager.
Primary Responsibilities:
  • Receive and coordinate service requests
  • Prepare quotes based on technician reports
  • Create work orders, purchase orders, and secure equipment when job has been approved, track materials until ready for pick up
  • Perform quantity takeoffs from construction drawings and specifications, identifying and quantifying all necessary materials, equipment, and labor required for the assigned project
  • Prepare and analyze labor needs and breakdowns to assist with budgets and planning
  • Review designs to identify areas of improvement and opportunity for cost efficiencies
  • Develop and maintain relationships with clients, contractors, and vendors

Experience, Education & Qualifications:
  • 3-5 years of previous experience in a service or estimating department
  • Degree, certificate, or diploma in a related field such as Construction Management, Engineering, Estimating, Business, or a combination of education and experience
  • Knowledge of Mechanical, Plumbing, or Fire Protection systems
  • Ability to interpret blueprints, specifications, inspection reports, etc.
  • Knowledge of Trimble AutoBid and Bluebeam considered an asset
  • Proficiency with MS Office (Word, Outlook, and Excel)
  • Update filters list, order monthly filters, and receive filter invoices
  • Coordinate and dispatch sub-trades
  • Reconcile invoices and follow up with unapproved quotes
  • Track correspondence with suppliers and customers and provide follow-up
  • Create new service contract proposals, contracts, and invoicing of contract
  • Timecard entry for service employees
