Job description

SCOPE: Under direct supervision is responsible for greeting patients and visitors to the office in a prompt, courteous, and professional manner. Ensures all forms are complete, accurate, and signed according to the practice guidelines. Serves as a liaison between the patient and the medical staff, responsible for scheduling appointments in timely and efficient manner. Answers all incoming calls and direct calls to the appropriate personnel.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Answers all incoming calls, assess the caller names, and directs to the appropriate personnel.

Schedules new patients and return appointments in the computer system in accordance with the physician and/or office guidelines. Cancels and reschedules appointments according to the physician’s schedule changes and advise appropriate clinical personnel.

Assists with the office social media, website and patient review management systems to ensure timely and accurate patient/customer information as per our office policies and with the guidance of the office assistant or Dr Small.

Prepares photos for charts and notifies physician of upcoming cosmetic consultations and the need for pamphlets, brochures, photos, and/or working programs needed for these consultations at any of the office sites.

Ensures that all co-pays and/or outstanding balances have been checked prior to admitting the patient and/or discharge of the patient from the consultation.

Obtains demographic and insurance information, obtains a copy of the patient’s insurance cards for the file, and obtains demographic insurance information as needed for the system.

Registers all new patients in the system, prepares and organizes new patient charts, notifies nursing staff of patient arrivals, and placing charts in the appropriate appointment order in the system, verifies and prepares charts for the next day’s appointments and schedules as needed. Collects co-pays, deductible and out of pocket amounts at the time of visit and issues receipts if necessary.

Files dictations and reviews with physician dictations which need review.

Scans documents properly and forwards information as needed to referring physicians.

Demonstrate a thorough understanding of Dr. Small’s background and procedures offered by the practice.

Maintains lobby area and patient bathroom in a neat and orderly manner, identifies no-shows and forwards for patient notification.

Demonstrates understanding the patient’s confidentially to protect the patient and practice.

Follows polices and procedures to contribute to the efficiency of the front office, covers for other front office functions and possibly back office functions as requested. Demonstrates positive interpersonal relations in dealing with follow employees, supervisors, and other departmental employees and physicians, so that productivity and positive employee relationships are maximized.

Other duties may be assigned as employment progresses.

ADDITIONAL SKILLS AND ABILITIES: Ability to read, understand, follow oral and written instructions, ability to correctly sort and file materials in alphabetical and numerical systems. Ability to courteously deal with patients, coworkers, and insurance personnel. Ability to operate telephone systems and utilize appropriate telephone. General knowledge of standard office equipment such computers, fax machine, and copier. General knowledge of medical terminology and the ability to be clear and concise with speaking ability.

EDUCATION AND/OR EXPERIENCE: High school graduate and/or equivalent.

PHYSICAL DEMANDS: The physical demands here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work may require sitting for long periods of time, also stooping, bending, and stretching for files and supplies, occasional lifting of files or paper weighing up to 40 pounds, requires manual dexterity to operate keyboard, calculator, telephone, copier, and other such office equipments. Vision must be correctable 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on the computer screens for prolonged period of time.
