Job description

Medical Assistants play a crucial role at NOVA Plastic Surgery and Dermatology, ensuring that daily clinical operations are performed with excellence. They are the movers of the practice, responsible for supporting the providers and maintaining a seamless patient experience. Medical Assistants perform a variety of duties, demonstrating exceptional organizational skills, attention to detail, and a strong commitment to patient care.

Responsibilities:

  • Stocking and Cleaning

  • Unpacking supply orders.

  • Tracking supply inventory.

  • Ensuring that examination and procedure rooms are fully stocked with necessary supplies and equipment each day.

  • Cleaning and sanitizing rooms between patients to maintain a pristine and welcoming environment.

  • Procedure Setup and Assistance

  • Assist providers in preparing for procedures, ensuring that all necessary equipment and instruments are ready

  • Prepare patients for procedures, including proper positioning, prepping, and providing comfort and reassurance.

  • Following practice protocols on taking appropriate progress photos and uploading them using the correct software

  • Skillfully draw blood samples as needed, following protocols to maintain patient safety.

  • Draw up numbing solutions and reconstitute products as directed by the providers or Clinic Manager.

  • Charting and Documentation

  • Document all patient interactions including but not limited to, questions, concerns, and emails.

  • Accurately chart and document patient information, products regimen, medical history, and procedure details in the EMR

  • Ensure that all documentation is complete, organized, and easily accessible for providers.

  • Upload appropriate photos and consents to TouchMD as instructed by Clinic Manager.

  • Patient Education and Instructions

  • Communicate pre- and post-procedure instructions to patients, ensuring they are fully informed and prepared for their treatments.

  • Inform patients of current promotions

  • Send follow-up emails to reiterate post-care instructions, ensure the patient is healing well, and assist booking follow-up appointments as needed.

  • Answer patient questions and address concerns, providing exceptional customer service in-person, via phone, and/or via email.

  • Patient Retention

  • Schedule further skincare treatments for patients by booking appointments at the end of their procedure (preferred) or by following up with patients in the days after.

  • Coordinate with the Front Desk staff to secure timely and convenient appointments for patients.

  • Billing and Administrative Tasks

  • Enter quotes and bills into NexTech based on the providers recommendations ensuring accuracy and adherence to established procedures.

  • Collect and manage patient intake forms, ensuring proper documentation and organization.

  • Proactively inform providers of any relevant information or concerns that may impact the treatment plan.
