Aesthetic Experience Specialist Job Description
Summary: This is a full-time position with benefits including health care coverage, paid time off, scrub allowance, and matching 401k. This position reports to the Aesthetics Office Coordinator.
Essential Functions and Responsibilities:
  • Greets clients, performs check-in and check-out procedures
  • Answers client inquiries by phone or in-person; regularly check calls, texts, emails, and patient inquiries professionally and promptly
  • Collects client information as needed, makes updates to files
  • Able to keep important client information confidential
  • Processes client payment for products and/or services provided
  • Schedules and confirms client appointments; manage provider schedules, waitlists, and follow-up visits
  • Continual learning of products and services in order to better serve clients, such as explaining offerings and aftercare instructions
  • Knowledge of aesthetics terms and trends
  • Assist providers during injectable and aesthetic appointments
  • Prepare and stock treatment rooms and maintain clinical inventory
  • Obtain standardized patient photographs according to office protocols
  • Accurately document treatments, products, lot numbers, and provider-directed charting
  • Review provider-directed pre- and post-treatment instructions with patients
  • Support office events, promotions, and retail skincare sales
  • Work closely with providers, aestheticians, and management to support patient care and office success
  • Other duties as assigned

Qualifications:
Required - High school diploma or equivalent; Previous customer service experience required; Medical office, dermatology, plastic surgery, aesthetics, hospitality, luxury retail, concierge, or medical assistant experience; Computer proficiency and ability to learn EMR and practice management software; Ability to multitask and prioritize in a fast-paced environment; Ability to work independently and collaboratively.
Preferred – Outstanding customer service and communication skills; Strong multitasking, organization, and time management abilities; Critical thinking and problem-solving skills; Dependable, professional, and calm under pressure; Genuine interest in aesthetics, skincare, wellness, and cosmetic treatments; Comfortable discussing services, products, memberships, and treatment recommendations in an educational, patient-centered manner; Positive team player with a growth mindset and willingness to learn; Ability to build trust and lasting relationships with patients.
Physical Demands: significant amount of sitting, standing, screen time, typing, and assisting clients; lifting up to 25 lbs.; occasional bending and stretching.
Work environment: This job operates in a professional, fast-paced office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, etc. There can be some noise and an occasional difficult client. This role will be imperative to providing a positive client experience.
