Director of Enterprise Compliance

Location: Dallas/Fort Worth, Texas (In Office)

About Pilot Companies

Pilot Companies, LLC is a rapidly growing multi-unit restaurant operator with over 60 locations of nationally recognized franchise brands across several states. Our team manages every aspect of the business, including development, construction, real estate, legal, finance, HR, operations, and acquisitions.

We are looking for a highly organized, analytical professional who thrives on bringing structure to complex processes, identifying risk before it becomes a problem, and ensuring our business remains compliant while continuing to grow.

Position Summary

The Director of Enterprise Compliance is responsible for developing, administering, and continuously improving the Company's compliance programs across franchise operations, corporate governance, real estate, insurance, licensing, and risk management.

This position serves as the central point of coordination between operations, legal, finance, human resources, construction, franchisors, landlords, insurance brokers, and outside counsel to ensure that critical obligations are met and organizational risk is minimized.

This is not a traditional administrative position. The successful candidate will be expected to build systems, improve processes, solve problems proactively, and independently manage a wide variety of projects.

Essential Responsibilities

Franchise Compliance

  • Monitor compliance with franchise agreements and development agreements.
  • Track critical contractual deadlines, including openings, remodels, transfers, renewals, and development milestones.
  • Coordinate responses to franchisor requests and compliance matters.
  • Maintain organized franchise records and compliance documentation.

Business Compliance

  • Administer corporate compliance calendars and reporting requirements.
  • Maintain entity records and required business filings.
  • Monitor business licenses, permits, registrations, and regulatory deadlines.
  • Coordinate renewals with internal departments and outside agencies.

Insurance & Risk Management

  • Manage insurance certificates and coverage compliance.
  • Coordinate annual renewals with insurance brokers.
  • Monitor claims activity and maintain claim documentation.
  • Assist with company safety initiatives and fleet compliance programs.

Real Estate & Lease Administration

  • Track lease obligations, notice periods, renewal deadlines, and critical dates.
  • Coordinate landlord requests, insurance compliance, estoppel certificates, and lease documentation.
  • Maintain lease databases and reporting tools.

Policy & Internal Compliance

  • Assist in developing and implementing company policies and procedures.
  • Monitor compliance with internal policies and operational standards.
  • Maintain compliance documentation and audit records.

Cross Functional Coordination

  • Partner with Operations, Finance, Human Resources, Construction, Real Estate, and Legal.
  • Coordinate special projects involving acquisitions, due diligence, new store development, and organizational initiatives.
  • Prepare reports and dashboards for executive leadership.

Process Improvement

  • Identify opportunities to improve efficiency and reduce organizational risk.
  • Develop standardized workflows, tracking systems, and documentation.
  • Recommend technology solutions to automate compliance functions where appropriate.

Qualifications

  • Bachelor's degree required.
  • Five or more years of experience in compliance, franchise administration, legal operations, corporate governance, contract administration, project management, or a related field.
  • Restaurant, franchise, real estate, or multi-unit retail experience strongly preferred.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities with minimal supervision.
  • Advanced proficiency with Microsoft Office, particularly Excel.
  • Experience with document management systems and compliance tracking software is preferred.

Desired Characteristics

The ideal candidate is:

  • Exceptionally organized and detail oriented.
  • Naturally proactive rather than reactive.
  • Comfortable managing multiple projects simultaneously.
  • Able to identify potential problems before they become significant issues.
  • Skilled at building relationships across departments.
  • Professional, discreet, and trustworthy with confidential information.
  • Curious, resourceful, and committed to continuous improvement.

Why Join Pilot Companies?

Pilot Companies is a fast-growing organization where talented people have the opportunity to make a meaningful impact. This role offers exposure to executive leadership, complex business transactions, franchise operations, real estate, legal matters, acquisitions, and strategic growth initiatives.
