Job description

Job Title: Practice Manager

Department: Behavioral Health

Location: Unity Hospital affiliation, work site Brighton (Crossbridge Office Park and Greece (Pinewild Dr)

Hours Per Week: 40 hours

Schedule: Monday through Friday

SUMMARY:
The position provides management and administrative support to the practice. The role works closely with the Lead Physician and other providers of the practice, developing business strategies, formulating budgets, and overseeing daily operations. The position's primary responsibility is to plan, coordinate, direct, and supervise various elements of the practice, including, but not limited to, financial, operations, and personnel management within the policies of the Medical Group and Rochester Regional Health System. Upholds patient rights in all settings. Provides leadership for staff; exhibits leadership core competencies; provides superior customer service; communicates and models the mission and values of the system.
KEY RESPONSIBILITIES:

  • Responsible for daily management of physician practice site(s) utilizing available tools and/or reports to facilitate improvement and ensure compliance
  • Responsible for the financial operations of the practice. Reviews monthly financial performance. Identifies opportunities for improvement and develops a plan to implement necessary changes to meet budget. Participates in annual budget development and is accountable for practice adherence to budget. Ensures compliance with fiscal standards with a focus on volume, payer mix, fees, customer service initiatives, productivity, coding, non-provider labor, building occupancy expenses, and clinical supply costs.
  • In conjunction with Human Resources, participates in the recruitment, hiring, coaching and mentoring, and termination of non-physician staff. Provides management, guidance, and training to staff in daily practice operations. Performs duties of subordinate staff when necessary to maintain practice operations.
  • Motivates staff and organizes day-to-day activity of department. Manages staffing and practice plans with providers to improve efficiency and cost-effective management procedures. Maintains standardized workflows and best practices that have been established by the Medical Group
  • Ensures that the practice facility is maintained to Rochester Regional Health System standards that meet compliance with any applicable safety practices that may be mandated by any regulatory agency and ensure customer satisfaction
  • Supports Rochester Regional Health System's vision and strategic plan; creates a culture of engagement to support improvement
  • Understands, articulates and ensures compliance with any applicable patient or employee safety practices that may be mandated by any regulatory agency or the health system. Understands and assures compliance for regulatory, accreditation, and system processes. (i.e., NYS Department of Health, The Joint Commission Accreditation for Hospital Organizations, OSHA)
  • In conjunction with the Lead/Managing Physician, assures compliance and facilitates workflows to ensure the environment creates and supports delivery of patient-centered care to include, but not limited to, Patient Centered Medical Home, Population Health Management, Meaningful Use, Patient Complaints and participation in Quality Assurance measures. In addition, assures compliance with organizational policies.
  • Assures accurate and timely input of all necessary data including demographic information, coding charges, statistical information and month-end data. Supervises all activities related to charge entry, edit corrections, patient registration, and over-the-counter transactions.
  • Identifies problems and provides alternatives and/or resolutions after thorough analysis of relevant information.

Preferred Qualifications:

  • Associate's or Bachelor's degree in Business or related field preferred, or an equivalent combination of education or work experience.
  • 3 years relevant work experience within practice setting preferred.
  • 2 years administrative leadership experience or combination of education and experience may be considered.
  • Demonstrated communications and analytical skills required - including, but not limited to, professional billing experience, proficiency in Microsoft Excel, financial management, personnel management, team building, and appropriate interpersonal skills.

The listed base pay range is a good faith representation of current potential base pay for a successful full time applicant. It may be modified in the future and eligible for additional pay components. Pay is determined by factors including experience, relevant qualifications, specialty, internal equity, location, and contracts.
