Job description

Primary Location:  Durham and Raleigh North Carolina.  Out of state travel also possible.
Reports to: Director of Maintenance

Company Conformance Statement:
In the performance of their respective tasks and duties, all employees are expected to conform to the following:

  • Work effectively as a team contributor on all assignments.
  • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.
Basic Function:
  • Assist in the development of company policies and procedures.
  • Assists President and other department heads with special projects, administrative tasks, and other related work.
  • Travel is required. Use of your vehicle is required.
  • Responsible for training and the ongoing development of onsite maintenance personnel with shared responsibility of maintaining the physical asset.
  • While the following information should be considered a comprehensive description of the position, it should be noted that some responsibilities and duties may not be specifically addressed.
Primary Responsibilities:
  • Train & educate maintenance personnel in all aspects maintaining the physical asset with an emphasis on safety.
  • Assist in the coordination & follow-up of the monthly Maintenance Tool Box talks.
  • Attend new construction "punch" and represent Management's long term interest during this process. Collaborate with construction personnel to timely resolve issues and ensure timely delivery of the buildings. Ensure effective hand-off to on-site personnel for on-going maintenance
  • Follow-up on any outstanding or incorrect issues to Director of Maintenance via email & digital photography.
  • Assist in the review of the Construction Warranty Binder provided by Signature Construction. Follow-up on missing items and return to site once completed.
  • Assist Area Managers, Maintenance Coordinators and Supervisors without Coordinators, with REAC preparation & scheduled REAC inspections and other 3rd party scheduled inspections. Report any issues to Assistant Director of Maintenance.
  • Assist Area Managers in the solicitation of comparison proposals.
  • Conduct on-site safety inspections with instruction & documentation when needed & correct any immediate safety or hazardous condition. Report these to Director of Maintenance.
  • Complete Corporate Site Visit Report following site visit & email to Area Manager, Director of Maintenance and Division President.
  • Monitor the Preventative Maintenance schedule based on the age of the property & report issues to Director of Maintenance.
  • Assist all levels of staff, with the implementation and compliance of the Maintenance SOP's.
  • Assist in the review of Maintenance Blue Notch related issues & report any issues to the Assistant Director of Maintenance.
  • Assist in any special projects, emergency situations, or any need to change or update Maintenance protocol.
  • Order the initial Maintenance Start-up supplies for New Construction projects.
  • Train site on Smart Use Resident Education.
Qualifications:
  • Must have experience in supervision of Multi-family site maintenance. 
  • Must be willing to work evenings or weekends, as required.
  • Must possess excellent verbal and written communication skills. Must possess the ability to read architectural plans.
  • Must be able to process internal paperwork.
  • Proficient computer skills, with the ability to learn new applications as required. Strong leadership, mentoring, team building skills, and ability to influence others. Comfortable speaking to large groups.
