Job Description

We currently have an exciting opportunity for an Administrative Coordinator. This role will provide administrative support for the US Multiple Myeloma and In-Line Brand Marketing leads, as well as the Commercial Insights, Analytics, & Operations (CIAO) lead. In this role, the candidate will also support operations of the broader US Marketing and CIAO organizations, including the Multiple Myeloma launch later this year. This role reports to the Executive Director of US Multiple Myeloma Marketing.

Kite is transitioning from its current Santa Monica headquarters, with employees expected to relocate to our Thousand Oaks office beginning in January 2027. While this role will be based in Santa Monica through 2026, applicants should take this planned relocation into consideration. Kite supports a flexible working policy, offering a balanced approach with two days of remote working and three days working onsite

Key Responsibilities

  • Provide administrative support, including calendar management, expenses, and travel

  • Partner with US Marketing and CIAO leadership to support meetings and activities

  • Manage business calendar(s) collaborating with peers on forward planning initiatives

  • Plan and organize internal onsite and offsite meetings, ensuring timely preparation of agendas and meeting minutes

  • Coordinate registrations for conferences, symposia, and local / international congresses

  • Maintain departmental information, including but not limited to organizational charts, rosters, birthday list, distribution lists, photo library, etc.

  • Manage purchase orders, invoice tracking, and budget-related tasks

  • Support recruitment and onboarding of new hires by scheduling interviews, creating onboarding plans, and completing onboarding tasks

  • Manage general inquiries and route questions to appropriate resources

  • Always maintain confidentiality

Basic Qualifications

Bachelor's Degree and 0+ years of office administrative experience

OR

Associate degree and 2+ years of office administrative experience

OR

High School Degree and 3+ years of office administrative experience

Preferred Qualifications

  • 2 years of office administrative experience

  • Knowledge of pharmaceutical processes and systems

  • Strong attention to detail and is organized with a systematic approach

  • Ability to prioritize information and meetings on behalf of team members / senior leadership

  • Proven administration experience within a fast-paced international organization

  • Experience with data management and MS Office (e.g., PowerPoint, SharePoint, OneNote, MS Teams, and Zoom)

  • Willingness to help and learn with a team player mentality

  • Ability to work in a field of uncertainty and ambiguity

The salary range for this position is: $99,705.00 - $129,030.00. Kite considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
