Job description

Summary
Assist in the development and implementation of marketing and recruitment plans to meet the needs of the enrollment goals for the Medical Scientist Training Program (MSTP) at the Medical College of Wisconsin. Coordinate interview appointments and on-campus visits with prospective students and provide institutional and programmatic information throughout the application process. Responsible for developing and maintaining relationships with undergraduate colleges and universities, the community, and representing the institution at events such as graduate and professional school recruitment fairs, campus visits, open houses, and information sessions. Work with MSTP staff and leadership to coordinate overall program operations, including NIH MSTP T32 documentation and management, and organizational support for student training activities.
Primary Responsibilities
  • Develop and implement a comprehensive recruitment strategy and recruitment program that supports MCW MSTP enrollment goals using best practice approaches. Coordinate recruitment efforts with the MCW Office of Student Recruitment to leverage marketing and prospective applicant and enrollment data.
  • Facilitate an exceptional student experience from recruitment through the admissions process.
  • Represent the MCW MSTP at local, regional, and national recruitment fairs and events and present to external groups visiting MCW. Present to prospective students at events including student organization meetings, classes, and conferences. Evening, weekend hours, and overnight travel are required.
  • Meet with prospective students via phone and in-person; provide tours to prospective students and guests; answer inquiries via phone and email. Manage follow-up and maintain record of events and prospect conversations.
  • Develop a communication plan for prospective students, and follow-up with prospects regularly. Manage Prospect module in AMP, and track interactions with prospective students.
  • Develop relationships with undergraduate pre-med organizations and pre-health advising staff to assist in MSTP's continued growth and recruitment of high quality applicants.

  • Coordinate management of the NIH MSTP T32 with program staff and related matrix relationships, including compliance and accuracy of grant application and tracking & reporting documents.
  • Support students in a complex, long-duration training pathway.
  • Work together with program staff and leadership to coordinate program operations involving student training activities.
  • Collaborate with other MCW schools and programs to build a unified presence, strong MCW brand and optimize resources.
  • Assist in the development of marketing materials and the management of the MSTP website and social media.
  • Other duties as assigned.

  • Knowledge and skill in use of computer software common to the academic setting.
  • Ability to work some weekends and evenings and overnight travel as needed

Qualifications
  • Minimum Required Education: Bachelor's Degree
  • Minimum Required Experience: Two years of experience in higher education, medical/graduate education, recruitment, communications, or program administration required.
  • Preferred Education: Master's Degree (or higher) in education, biomedical sciences, academic counseling, or related field preferred.
  • Preferred Experience: Higher education, especially MD-PhD/MSTP programs and/or admissions recruiting/counseling preferred.

Physical Requirements
Work requires handling light to average weight materials or equipment with no special speed or exertion.
Work Environment
Typical working conditions found in most administrative work areas with some slightly disagreeable features.
Sensory Acuity
Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
