Position Summary

The Executive Personal Assistant & Lifestyle Manager serves as the primary strategic partner and trusted right hand to the owners of Epting. This dynamic, multi-faceted role provides comprehensive 360-degree support across business operations, high-level logistics, personal health and wellness, and event hospitality.


The ideal candidate thrives in a fast-paced environment and excels at driving efficiency. By anticipating needs, managing complex schedules, directing personal projects, and championing a healthy lifestyle, you will empower the owners to focus on high-level strategy and business growth.


Role Overview

  • Type: Full-Time | Exempt (Salaried)

  • Schedule: Flexible scheduling required, including regular evening and weekend availability to support events, travel, and executive priorities.

  • Reporting: Direct to the Company Owners

Key Responsibilities
Executive Support & Operational Management
  • Calendar & Communication: Proactively manage complex personal and business calendars, prioritize daily activities, screen incoming communications, and ensure seamless follow-up on critical action items.

  • Administrative Operations: Draft briefing materials, oversee expense reporting and credit card reconciliations, manage digital filings, and handle sensitive business documents with strict confidentiality.

  • Project Coordination: Track executive initiatives, manage vendor relationships, follow up on outstanding project deliverables, and maintain clear status updates on special projects.


Personal Assistance & Lifestyle Logistics
  • Household & Personal Support: Oversee vendor services, home maintenance, vehicle care, personal errands, gift purchasing, and family schedule coordination.

  • Travel & Experiences: Plan and coordinate seamless business and leisure itineraries—including flights, luxury accommodations, ground transport, and dining/entertainment reservations.

  • Financial Logistics: Track personal budgets, manage subscriptions, and oversee personal expense reporting.

Health, Fitness & Holistic Wellness
  • Personalized Fitness: Design customized workout routines aligned with executive fitness goals, lead training sessions (or coordinate with external coaches), and track long-term progress.

  • VIP & Executive Hospitality: Coordinate white-glove hospitality for executive guests, sponsors, and key clients, ensuring high standards are met at every touchpoint.

  • Logistics & Problem-Solving: Manage owner communications onsite, resolve last-minute logistical challenges, keep event schedules moving efficiently, and assist with production coordination.


Candidate Profile
Qualifications & Requirements
  • Experience: 5+ years supporting high-level executives or business owners, with a proven track record of managing complex schedules and dynamic environments.

  • Technical Skills: Advanced proficiency in Google Workspace, Microsoft Office, and modern project management tools.

  • Licensing & Physical Demands: Valid driver’s license with a reliable vehicle; ability to lift up to 35 lbs; willingness to travel and work flexible hours (nights/weekends).

  • Core Aptitudes: Uncompromising discretion, outstanding written and verbal communication, and a calm, decisive approach under pressure.

Preferred Experience
  • Background in hospitality, luxury catering, or large-scale event production.

  • Fitness/Nutrition: CPT certification (NASM, ACE, ACSM, or equivalent) and/or formal training in nutrition and healthy meal design.

  • Current CPR/First Aid Certification.
