Job Description Summary:
We are hiring for an Operations Associate (Paperwork and Cashiering) to specialize in account onboarding and money movement (cashiering). The Operations Associate (PAC) will play a critical role in delivering an exceptional client experience by simplifying complex processes and maintaining high operational standards.
Job Description:
Account Onboarding & Paperwork
  • Prepare all paperwork for new client onboarding and additional accounts for existing clients.
  • Ensure all forms are completed accurately, submitted in a timely manner, and meet compliance standards.
  • Process account documentation across multiple custodians, including Schwab, Fidelity, and Pershing.
  • Resolve issues such as missing documents or non-standard cases by working closely with internal teams and custodians.
  • Stay current on custodial platform tools and complete all relevant custodial trainings.
  • Look for opportunities to enhance the client experience (e.g., anticipating future needs, consolidating documentation that requires signatures).

Cashiering
  • Accurately and promptly process cashiering requests (ACH transfers, wires, checks, journals, RMDs, capital calls, etc.).
  • Ensure all money movement transactions comply with firm and custodial policies, including callback protocols.
  • Identify opportunities to consolidate client signature requests and enhance processing efficiency.

Client & Data Management
  • Maintain accurate client records across CRM and custodial platforms.
  • Regularly audit client data to identify and correct errors or inconsistencies.
  • Coordinate with Advisors and other service team members to ensure alignment and a seamless client experience.

Project Support & Team Collaboration
  • Assist with special projects
  • Contribute to updating internal training materials and onboarding best practices.
  • Participate in enhancing workflows as systems and processes evolve.
  • Uphold strict confidentiality of all client, firm, and employee information.

Qualifications
  • Bachelor's Degree preferred; 1+ years of experience in financial services preferred.
  • Familiarity with account onboarding processes and major custodians (Schwab, Fidelity, Pershing) a plus.
  • Strong attention to detail, problem-solving skills, and ability to manage multiple deadlines effectively.
  • Proficiency in Microsoft Office and CRM platforms (Salesforce, Dynamics 365, or similar).
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

This position is a non-exempt position. The annualized base pay range for this role is expected to be between $55,000 - $65,000base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant's skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Please note that the job title is subject to change based on the selected candidate's experience and education.
