Job Description Summary
Health & Counseling Services seeks to hire a Senior Department Assistant, someone with exceptional organizational and customer service skills to be the front-facing representative of our busy medical office. This individual will answer phone calls, deal with students, faculty, and staff who walk into the office with questions, schedule medical appointments, and handle administrative tasks of the office, and supervise our wonderful team of student workers.
Medical office experience preferred but not required. Confidentiality and considerable tact and discretion are expected.
*This is a staff bargaining unit position.
Essential Functions
  • Maintain, schedule and coordinate appointments on electronic practice management system.
  • Greet visitors. Answer phone, triage calls and take messages.; sort and distribute mail.
  • Administer the New York State immunization compliance process, including reviewing records, following up with noncompliant students, maintaining accurate documentation, and supporting submission of required annual New York State compliance reporting.
  • Communicate with various on and off-campus constituencies to assure student compliance with state, NCAA and other regulations.
  • Provide administrative support to the Health & Counseling Center director and staff.
  • Keep track of inventories and orders all departmental supplies from vendors.
  • Train, assign, supervise student workers.
  • Maintain confidentiality and handle student health, counseling, immunization, and institutional records in accordance with applicable university policies, FERPA, HIPAA where applicable, and other privacy requirements.

Required Education, Experience, Technology Applications and Skills
  • Ability to provide professional, responsive, and service-oriented support in a busy front-office environment.
  • Exceptional organizational skills and be able to attend to and prioritize projects.
  • Ability to successfully manage interpersonal working relationships.
  • As appropriate, collaborate with staff in other units and divisions to achieve the goals of the University.
  • Strong written and verbal communication skills.
  • Handle confidential information sensitively and appropriately.
  • Ability to remain calm, use sound judgment, and follow established office protocols when responding to urgent or sensitive situations.
  • Demonstrates commitment to working in a diverse workplace and to building a pluralistic community by promoting an increased understanding of individual differences and perspectives that will enable workforce cohesiveness.
  • Demonstrated ability to provide professional, efficient, and service-oriented support in a busy front-office environment.

Physical Requirements
  • Prolonged periods of sitting, extensive computer use, and occasional lifting or moving of light objects.
