We serve casinos, stadiums, hospitals, and hospitality venues nationwide, delivering the full project lifecycle — from specification and design through procurement and installation. Role Summary

The Project Coordinator is a critical execution role within the project team. This position is responsible for the procurement, documentation, and logistical coordination that keeps projects on schedule, on budget, and fully compliant with client expectations. Working directly alongside Project Managers and Assistant PCs, the PC manages the flow of equipment, submittals, and vendor relationships from award through closeout. The ideal candidate is organized, proactive, and takes ownership without being asked twice.


Key Responsibilities

Procurement & Purchase Orders

  • Create and issue purchase orders; negotiate discounts with manufacturers and rep groups.
  • Oversee material procurement and delivery from award through project closeout.
  • Send, track, and follow up on quote requests to vendors and rep groups.
  • Manage and maintain procurement logs for internal and external use.
  • Notify manufacturers and reps of updated scheduling information.


Project Documentation & Submittals

  • Create and maintain the product data submittal book; review work completed by Assistant PC.
  • Upload submittals, RFIs, photos, email correspondence, QR codes, and transmittals in Procore.
  • Track change order status; prepare change orders for PM review and approval.
  • Perform data entry in NetSuite (PO updates, submittal updates, sales orders) and AutoQuotes.


Delivery, Field Coordination & Closeout

  • Schedule, track, and report equipment deliveries to jobsite; maintain procurement logs.
  • Collect Bills of Lading (BOLs) and proof of delivery documentation.
  • Collect daily field reports from site teams.
  • Assemble project closeout packages: O&M manuals and all required submittal documentation.
  • Schedule equipment training, startups, and warranty service calls; confirm completion.


Billing & Financial Coordination

  • Process monthly billing in coordination with the Project Manager.
  • Service invoices and follow up on outstanding payments.
  • Assist in ensuring projects remain within approved budget.
  • Create Sales Orders and Purchase Orders in NetSuite.


Schedule & Team Support

  • Assign tasks to internal teams and assist with schedule management.
  • Support PM in managing client responsiveness and internal coordination.
  • Participate in weekly WIP reviews; come prepared with current project status.


Qualifications

Required

  • 2+ years of experience in project coordination, construction, or commercial foodservice.
  • Proficiency in Procore and NetSuite, or comparable project management and ERP platforms.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Clear, direct written and verbal communication skills.
  • Demonstrated ability to meet deadlines and escalate issues early.


Preferred

  • Experience in foodservice equipment, commercial construction, or hospitality.
  • Familiarity with AutoQuotes and procurement log management.
  • Exposure to casino, stadium, hospital, or large-scale venue projects.

What Success Looks Like

In the first 90 days, a successful Project Coordinator will:

  • Have full command of assigned project procurement logs with no gaps or stale entries.
  • Proactively flag delivery delays, submittal issues, and budget variances before they become problems.
  • Build working relationships with assigned PM(s), rep groups, and key vendors.
  • Be fully operational in Procore and NetSuite with minimal hand-holding after onboarding.
