Description About the Role

This is a hybrid position split between payroll processing and client support andHR administration support, serving a portfolio of Profit Builders clients.You will run payroll cycles for an assigned group of clients while also serving as the day-to-day HR administration resource for clients who have engaged Profit Builders for HR Administration services, working directly with their general managers and leadership teams.

The mix of HR services varies by client and is defined by each client's scope of services agreement. Client leadership retains all substantive employment decisions; this role administers those decisions, maintains the supporting systems and documentation, and recommends best practices.

Essential Functions โ€” Payroll
  • Process payroll cycles for multiple clients in Profit Builders' ProWork HCM application โ€” paychecks, on-demand payments, and statements of earnings and deductions โ€” while meeting all required deadlines
  • Import time and attendance files and review time sheets and wage computations to detect and reconcile discrepancies before payroll is finalized
  • Reconcile gross payroll and applicable payroll taxes, and assist with multi-state, multi-location tax reporting and quarterly filings
  • Maintain employee master file records, including garnishment entry, compliance validation, and coordination of payment remittance
  • Follow the payroll processing checklist and perform calculations and data entry rapidly and accurately
  • Provide payroll and customer service support to clients and their employees on questions related to pay, benefits, and payroll taxes
  • Support clients in ProWork payroll functions such as employee onboarding, rate changes, and tax forms
  • Protect payroll operations and maintain client confidence by keeping information confidential
Essential Functions โ€” HR Administration Support

Scope varies by client engagement; representative duties include:

Employee records and HRIS administration

  • Maintain employee data, electronic personnel files, incident documentation, and client policies and procedures in ProWork and the HR portal, reinforcing ProWork as each client's single source of employee record
  • Configure HRIS functionality to automate client processes, including onboarding workflows, e-signature forms, and reporting
  • Maintain authorized-user access and reporting by department, location, and function, and support employee self-service access including lockout resolution with client managers

Employee lifecycle and compliance

  • Create, maintain, and track electronic new hire checklists, and help client managers drive completion
  • Track I-9 and E-Verify compliance, maintain status reporting in ProWork, and follow up with clients to ensure timely completion
  • Respond to employment verification requests received through the support inbox
  • Support termination administration, including separation notices and benefit terminations as directed by the client, routine unemployment forms, required third-party forms, and offboarding checklists
  • Maintain compensation change workflows with approval routing and audit history, and validate pay rates between client POS systems and ProWork
  • Collect and provide client data for annual workers' compensation and ACA audits

Benefits administration

  • Complete benefits enrollment and coordinate life change events in ProWork as provided by clients and their benefit brokers and carriers
  • Reconcile benefit invoices monthly, manage annual contribution data, and track new plans, rates, deductions, and the open enrollment process
  • Coordinate COBRA administration through the firm's COBRA partner and facilitate data exchange with approved third-party vendors, including 401(k), benefits, and garnishment providers

Client service and documentation

  • Build client-specific self-service training documentation and assist with live system training for client users
  • Maintain current internal process documentation for each assigned client so work can be covered by other team members when needed
  • Use firm-approved AI tools to support recurring documentation, reporting, and reconciliation tasks in accordance with firm policy
  • Manage competing priorities and deadlines across multiple client engagements, elevate capacity conflicts early, and assist with other projects as assigned
Requirements Qualifications
  • 2-5 years of combined payroll processing and HR administration experience is preferred
  • Experience using an HCM (Human Capital Management), HRIS, and/or payroll system; UKG Ready experience strongly preferred
  • Working knowledge of benefit programs, Section 125 plans, benefit invoice reconciliation, and open enrollment administration
  • Familiarity with I-9 and E-Verify requirements, ACA reporting, COBRA administration, and unemployment claim documentation
  • Experience with payroll taxes preferred; multi-state and multi-location experience a plus
  • Prior experience in a service bureau, PEO, ASO, or other outsourced environment supporting multiple client accounts a plus
  • Restaurant, hospitality, or other high-turnover, multi-location industry experience a plus
  • Knowledge of payroll and HR setup and configuration within software
  • Comfortable using AI tools in day-to-day work and interested in adopting AI-supported processes
  • Good customer service skills and an overall understanding of accounting
  • A team player with excellent communication skills, comfortable working directly with client managers and leadership across several accounts
  • Strong organizational and time management skills with the ability to prioritize and multi-task across multiple clients while meeting established deadlines
  • Ability to keep client-specific policies, processes, and records distinct and accurate when moving between accounts
  • Sound judgment in distinguishing between administering a client's decisions and making employment decisions on the client's behalf
  • High level of discretion and the ability to maintain confidentiality of employee and client information
  • Quick learner possessing attention to detail
  • Dependable and self-motivated with a positive attitude
  • Flexibility and receptive to change
  • SHRM-CP, PHR, FPC, or CPP certification a plus
