JobDescription: The Atlanta office is seeking a Senior Associate, Payment Controls to join our growing Family Office team.
This role is responsible for supporting the firm's bill pay and vendor management control environment through operational oversight, quality assurance, process governance, and risk management activities. The Senior Associate will help ensure adherence to established policies, procedures, and due diligence standards designed to safeguard client assets while promoting vendor data integrity and operational consistency.
The role will also support the administration and optimization of the firm's accounting and bill payment systems, including user support, reporting, workflow management, data governance, testing, and system enhancements. Working closely with Operations, Technology, and other business partners, this individual will help drive process improvements, strengthen controls, and enhance operational efficiency.
Key Responsibilities:
  • Promote adherence to established bill pay policies, procedures, and internal control requirements.
  • Perform quality assurance reviews of vendor maintenance activities, payment workflows, and supporting documentation.
  • Monitor vendor data integrity and support efforts to maintain accurate, complete, and well-documented vendor records.
  • Ensure vendor onboarding, vendor maintenance, and payment-related activities are completed in accordance with established due diligence standards and operational controls.
  • Identify process gaps, control exceptions, trends, and operational risks, and escalate findings as appropriate.
  • Partner with operational teams to drive consistency, accountability, and best practices across payment-related processes.
  • Support the ongoing enhancement of internal controls designed to protect client assets and mitigate operational risk.
  • Assist with the development, documentation, and refinement of operational procedures, workflows, and governance standards.
  • Support the administration, maintenance, and optimization of the firm's accounting and bill payment systems, including user support, reporting, workflow management, testing, and system enhancements.
  • Partner with business stakeholders and technology teams to identify opportunities for process automation, improved system utilization, and operational efficiencies.
  • Develop metrics, reporting, and analysis to support management oversight and continuous improvement initiatives.
  • Support audits, control reviews, risk assessments, and operational improvement efforts.
  • Participate in special projects and strategic initiatives as assigned.
  • Perform other Family Office and operational responsibilities as needed.

Qualifications:
  • Bachelor's degree in Accounting, Finance, Business Administration, Information Systems, or a related field required.
  • 4+ years of experience in bill pay operations, accounting operations, financial services operations, internal controls, audit, risk management, vendor management, systems administration, or a related operational function.
  • Strong understanding of operational controls, process governance, risk mitigation, and quality assurance practices.
  • Experience supporting, administering, or enhancing accounting, workflow, or bill payment systems.
  • Demonstrated ability to review operational processes, identify control gaps, and recommend practical process improvements.
  • Experience performing quality assurance reviews, control testing, operational audits, or compliance monitoring preferred.
  • Strong analytical and problem-solving skills with the ability to identify trends, evaluate risks, and support operational decision-making.
  • Exceptional attention to detail and commitment to accuracy, consistency, and documentation standards.
  • Ability to manage multiple priorities while maintaining a high degree of organization and accountability.
  • Strong written and verbal communication skills with the ability to collaborate effectively across teams and influence process adherence.
  • Proficiency with Microsoft Office applications, reporting tools, and operational technology platforms.
  • Demonstrated commitment to continuous improvement, operational excellence, and maintaining a strong control environment.
  • Ability to handle sensitive client, vendor, financial, and payment information with professionalism and discretion.
