Administrative Coordinator (Pathology Lab)

Our team members advance our mission and exemplify excellence, compassion, teamwork, and purpose in all that they do. Indiana University Health Medical Group is seeking individuals who embody these values to join our Pathology team in the role of Administrative Coordinator.

We are seeking a curious, adaptable, and professionally grounded coordinator to serve as the executive administrative backbone for the Chair/Vice Chair of Pathology at IU Health. This is a brand new position supporting one of the most complex and matrixed leadership environments in the IU Health system - a department of over 250 individuals, more than 130 faculty members, and a pathology and laboratory operation spanning 18 hospitals with approximately 1,400 FTE across IU Health, IU Health Medical Group, and Indiana University. This role exists to bring order, judgment, and steady support to the leadership team.

This role provides executive administrative support to the Chair of Pathology and Laboratory Medicine and the broader department leadership team, including:

  • Serving as the executive administrative liaison for the Chair
  • Managing the Chair and Vice Chair for Administration's calendars with high autonomy
  • Taking meeting minutes and tracking project deliverables and progress for the Chair
  • Running the annual faculty review process for the Chair
  • Synthesizing data from multiple sources into polished PowerPoint presentations for the Chair and executive leadership team
  • Editing, reviewing, and rewriting communications and documents on behalf of the Chair and executive team
  • Planning and executing large scale department events
  • Setting up technology in meeting rooms prior to the Chair's meetings
  • Managing facilities related duties within the IU Health Lab Service ecosystem, including building and garage access issues and fire alarm coordination
  • Supporting purchasing and event logistics as needed
  • Working collaboratively alongside other administrative support teams

Candidates for this position will be evaluated according to the following criteria and competencies.

  • Bachelor's Degree or equivalent years of experience is required.
  • Requires 3-5 years of relevant experience.
  • Requires intermediate experience in receiving, analyzing, and interpreting complex data and information.
  • Experience with a matrix organization and complex work environment is preferred.
  • Requires advanced proficiency in MS office (Word, PowerPoint, Excel).
  • Prior experience in a healthcare, health system, or physician practice environment is a meaningful plus
  • Strong written communication skills required

Judgment and Backbone: You are the person who says no, bumps the calendar, and protects leadership time

Curious and Eager to Learn: You are comfortable not knowing the answer and genuinely excited to figure it out.

Adaptable and Unflappable: You adjust, recalibrate, and keep going without losing your composure.

Strong Communicator and Writer: You draft communications for the Chair that sound like the Chair. You read the room, adapt your tone, and produce polished written work under pressure.

Organized and Detail Oriented: You manage a complex calendar, track multiple projects, coordinate large events, and handle facilities.

Mission Connected: You understand that the work happening in this building supports patient care across the entire IU Health system, and that matters to you.

Indiana University Health is unlike any other healthcare system and we're looking for team members who share the things that matter most to us. IU Health leaders play a crucial role in advancing the mission of our organization and inspiring teams to make a meaningful difference in the lives of patients.
